You will be part of an elite event management team in the Life Science Industry. This person will play an integral role on our team assisting leadership in company operations including planning and preparing for our nationwide events, handling logistics, and supporting our leadership and team. This position requires excellent organizational skills, multi-tasking, problem-solving efforts, and the ability to work well independently as well as with others. This position works out of our Bonita Springs, FL office.

This position will provide support to our leadership team, and drive continuous improvement from our event management team while providing leadership with the most up-to-date information needed. This individual will drive activities that support budget management and metrics reporting. You will be a key member of our team and will contribute to our overall growth and organization.
What will you do?
- Function as a liaison between the leadership and the event team to ensure alignment, assisting leadership with forecasting, budgets, and team deadlines.
- Process orders, and manage order inventory.
- Expected to produce consistent, quality work with a high attention to detail and sensitivity.
- May be required to perform other related duties as required and/or assigned.
- Work as a team member on special projects as needed.
- Assist in dividing responsibilities to ensure performance
- Assist with agendas/travel arrangements/appointments etc. for the team
- Support budgeting and bookkeeping procedures
- Create and update records and databases with personnel, financial and other data as well as office files
- Assist with tracking stocks of office supplies
- Assist colleagues whenever necessary
Requirements:
- Proven experience as an Office Assistant, Front Office Manager, Administrative Assistant or Customer Service Experience - Event Planning Knowledge a plus but not necessary
- Knowledge of office administrator responsibilities, systems and procedures
- Excellent knowledge of MS Office (MS Excel, MS Word & PowerPoint) & Adobe PDF
- Hands-on experience with office machines (e.g. fax/scan and printers)
- Excellent time management skills and ability to multi-task and prioritize work
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with the ability to suggest improvement
- Outstanding communication and interpersonal abilities
- Excellent organizational and leadership skills
- Familiarity with office management procedures and basic accounting principles
