Position Summary
Ava is seeking to hire a full-time Executive Assistant reporting to the Chief Executive Officer (CEO). As the Executive Assistant, you will utilize your exceptional organizational and communication skills to provide support to our CEO, Chief Customer Officer (CCO), and other executives as identified. Responsibilities include scheduling meetings across complex calendars, acting as a gatekeeper, being proactive regarding calendars and inboxes, coordinating travel, and various projects as needed. The ideal candidate is passionate about providing exceptional executive support, is trustworthy, embraces a growth mindset, and excels at being mindful of details in a high-performance-oriented, fast-paced, and ever-changing environment. Position Details
Essential Duties and Responsibilities:
- Proactively manage and prioritize the CEO, CCO, and other identified leaders' calendars, focusing on productivity, urgency, and stakeholder needs and prioritizing accordingly
- Arrange comprehensive travel plans and coordinate high-profile events and meetings for the CEO, CCO, and leadership team
- Act as a gatekeeper by screening and prioritizing communications and actions
- Effectively communicate and partner with various internal and external stakeholders, ensuring smooth collaboration and coordination. This role requires mature and professional communication.
- Assist in the development and organization of support materials for meetings and conferences (e.g. conference rooms, slide decks, presentations, meeting materials, etc.)
- Prioritize conflicting needs - handle matters expeditiously and proactively. Follow-through on projects to successful completion, often with deadline pressures
- Represent leadership in various meetings, actively participating, and taking relevant notes to share with senior executives or other stakeholders
- Proactively review and adjust schedules and upcoming priorities for the CEO, CCO, and other leaders to ensure optimal time management
- Engage with board members, representing the agency and its leadership in all interactions, and attend board and leadership meetings
- Consolidate reports, emails, and various pieces of information into cohesive summaries for leadership, streamlining their understanding of situations or issues
- Collaborate with staff to create efficient communication channels, acting as a conduit for CEO, CCO, and other leaders
- Develop documents and Confluence pages to support work, share information with staff, and communicate on key topics
- Maintain high levels of organization using various tools to ensure smooth operations
- Champion the agency’s ethos, consistently representing the agency in all interactions
- Prepare and submit expense reports
- Other duties as assigned
Minimum Requirements:
- 5+ years of relevant executive-level support (VP and above)
- Ability to manage multiple complex calendars with finesse
- Ability to adapt and work in a fast-paced and fluid environment
- Event planning experience
- Advanced knowledge of and experience using Sharepoint, Google Suite, and Docusign
- Ability to handle confidential information
- Ability to work independently and to be resourceful with minimal supervision
- Team player with a positive attitude
- Government agency experience is a plus
Compensation and Benefits
The annual salary for this position is $120,565, with a Total Compensation of up to $130,210 annually based on performance.

Location and Working Conditions
This position will be based in Ava headquarters in Oakland, near BART. Ava's team has a hybrid approach inclusive of in-office and remote work. This role is expected to go into the office Tuesdays, Thursdays and the first Wednesday of the month. We are not providing relocation or sponsorships currently.

Licenses/Certificates
Possession and continued maintenance of a valid class C California driver’s license or the ability to provide alternate transportation and a safe driving record.
