Job Overview:
As a Construction Administrative Assistant, you will provide administrative support to the construction management team. You will help track construction schedules, invoices, job costs, and construction documents, as well as general office and administrative duties, as assigned.
Primary Duties and Responsibilities.
Prepare reports, communications, and meeting minutes.
Utilizes construction management software and/or tracking systems to keep project information current and accessible to a variety of users.
Prepare and manage forms such as subcontracts, submittals, change orders, and purchase orders
Prepare permits and applications.
Receive, organize, distribute, and file all documents for new and ongoing projects.
Maintain an organized electronic filing system
Receive and submit invoices and receipts for approval and payment.
Answer incoming phone calls and respond to or route emails in a professional way
General office and administrative support
Ability to accurately proofread documents
Handle special projects and other administrative and/or clerical duties as assigned.
Education, Skills and Qualifications
High school diploma or equivalent required; college degree preferred.
Experience in administrative support required.
Strong computer skills required, proficiency in Microsoft Office suite, especially Excel, and Adobe Acrobat.
Ability to use discretion and maintain confidentiality with proprietary and other information
Excellent execution skills, highly focused task completion, communication (written and verbal), time management and strong organization skills.
Ability to meet deadlines while maintaining a professional attitude; great team-player and ability to accept constructive feedback.
Must exercise initiative and demonstrate self-motivation.
Must be able to pass criminal background check
Physical Requirements
This is primarily a sedentary office position that requires the ability to bend, stoop, reach, lift, move and carry office materials and supplies weighing 25 pounds or less.

Pay: $18.00 - $23.00 per hour
