Job Summary:
The Service Assistant plays a crucial role in ensuring the smooth operation of the service department by
providing exceptional customer service and administrative support. This individual will assist customers
with service inquiries, schedule appointments, and coordinate service activities to ensure customer
satisfaction and efficient workflow within the department.
Responsibilities:
1. Greet customers in a courteous and professional manner upon arrival at the dealership's service
department.
2. Assist customers with scheduling service appointments via phone, email, or in-person interactions.
3. Communicate with customers to gather relevant information about their vehicle's service needs and
relay this information to service advisors or technicians.
4. Provide accurate estimates for service costs and timelines, ensuring transparency and clarity for
customers.
5. Coordinate with service advisors and technicians to prioritize service appointments and ensure timely
completion of repairs.
6. Manage incoming service inquiries and direct them to the appropriate department or personnel for
resolution.
7. Assist with administrative tasks such as filing service records, processing warranty claims, and
maintaining customer databases.
8. Follow up with customers to ensure satisfaction with service provided and address any concerns or
feedback.
9. Maintain cleanliness and organization within the service reception area to provide a welcoming
environment for customers.
10. Adhere to dealership policies and procedures, including those related to customer service standards,
safety protocols, and confidentiality.
Qualifications
- High school diploma or equivalent.
- Prior experience in a customer service or administrative role, preferably within the automotive
industry.
- Strong communication skills, both verbal and written, with the ability to interact professionally with
customers and colleagues.
- Excellent organizational skills and attention to detail to effectively manage service appointments and
administrative tasks.
- Proficiency in computer applications such as MS Office suite and dealership management software.
- Ability to multitask and work efficiently in a fast-paced environment.
- Knowledge of automotive terminology and basic mechanical concepts is desirable but not required.
