Office/Sales Assistant Job Description
Job Summary: We are looking for a dedicated and organized Office Assistant to support our administrative team, as well as a dynamic and customer-oriented Sales Assistant to join our sales team. The Office Assistant will perform a variety of clerical tasks, help maintain a tidy and efficient office environment, and ensure smooth day-to-day operations, while the Sales Assistant will support the lead Sales and team by managing customer relationships, processing orders, and providing exceptional customer service. Both positions require strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
Key Responsibilities:
- Administrative Support: Assist with daily administrative tasks, including answering phones and managing correspondence.
- Reception Duties/Customer Service: Greet and assist customers in a friendly and professional manner. Address customer inquiries and resolve complaints promptly. Also ensure they are directed to the appropriate person or department.
- Sales Support: Assist the sales team with daily sales activities, including managing sales orders, processing transactions, and prepare Driver Route Board.
- Put order on Driver Route board – print & Text to Group
- Prepare Drivers BOL & Invoice
- Put them in Drivers Box
- Put orders routed on load order board
- Print & Text & Send to Dispatch
- Make 5 Copies Give to Shipping
- Learn to Route Trucks
- Revise Invoices
- Check Plant search for requested Quotes
- Product Knowledge: Maintain a thorough understanding of our products and services to provide accurate information to customers.
- Administrative Tasks: Perform administrative duties such as data entry, and filing.
- Data Entry: Enter and update data in QuickBooks and Google sheet accurately and efficiently.
- Document Management: Organize and maintain files, records, and documents, both physical and digital.
- Marketing Assistance: Support marketing initiatives by helping with the preparation of promotional materials and campaigns.
- Update Availability (Every 2 weeks)
- Collaboration: Work closely with the sales team and other departments to ensure smooth operations and customer satisfaction.
- Customer Feedback: Collect and report customer feedback to help improve products and services.
- Compliance: Ensure compliance with company policies and procedures, and handle confidential information with discretion.
Qualifications:
- Experience: Previous experience in a sales or customer service role is preferred.
- Skills: Excellent communication and interpersonal skills, and strong organizational abilities.
- Personal Attributes: Positive attitude, proactive approach, Detail-oriented, dependable, and capable of working independently and as part of a team.
- Bilingual: Spanish and English

Pay: $12.00 - $15.00 per hour
Expected hours: 40 per week
