POSITION SUMMARY
The CME Coordinator for the Office of Continuing Medical Education is responsible for Regularly Scheduled Series (RSS) coordination, clerical support services, and continuing medical education tracking and documentation. In addition to these responsibilities, the intern will assist the Sr. Program Specialist and Manager of CME with the planning and implementation of all activities associated with educational programs and special events. The CME Coordinator will report to the Manager of CME.
PRIMARY RESPONSIBILITIES
Clerical Support Services: Manage the daily operations of the office.
- Answer incoming telephone calls and direct visitors to the appropriate individual.
- Route calls, messages, and faxes accordingly.
- Retrieve, sort, and distribute mail to department personnel.
- Coordinate all shipping needs for the department.
- Maintain supply inventory for department and order all office supplies.
- Organize and maintain departmental files and appropriate records.
- Prepare departmental letters, reports, and other correspondences as requested by manager.
- Deposit checks and process all credit cards that come through the department in a timely manner.
- Prepare check requests for department.
- Generate report of credit card revenue on monthly basis.

Cardiology Grand Rounds: Assist CME Staff with Cardiology Grand Rounds (CGR) every academic year.
- Email confirmation email to add Grand Round speakers.
- Assist with coordination of travel and hotel arrangements for out-of-town speakers.
- Create flyer and loop slides for each scheduled grand rounds date.
- Communicate with the VCS staff in Teams for scheduling of CGRs.
- Work every scheduled Grand Rounds (Oversee catering, assist with on-site questions)
CME Tracking and Documentation: Responsible for maintaining those documents and files required by the Accreditation Council for Continuing Medical Education as they relate to continuing medical education credits.
- To maintain documents and files required by the Accreditation Council for Continuing Medical Education as they relate to continuing medical education credits.
- Become an expert in usage of CME software – Webtracker.
- Enter attendees into CME tracking software, print registration reports, and file for each conference.
- Compile and record CME credits for all THI symposia.
- Responsible for RSS management and compliance. Enter all RSS data/credits.
- Compile registration reports as requested.
Educational Programs: Assist department personnel in the planning and implementation of the educational programs. These duties include, but are not limited to:
- Attend all medical education events that are held in-person and virtually.
- Print badges and sign-in sheets for each conference.
- Prepare, distribute, organize, and file all registration and acknowledgement documentation for CME activities.
- Provide necessary support at all CME meetings/seminars/events by assisting with registration, exhibitors, catering, and audiovisual services. This may require the incumbent to travel to and from local, state, and national meeting sites. Process registration payments onsite.

EDUCATION REQUIREMENTS

High School diploma required, Associate’s Degree or higher preferred

2-3 years of relevant experience required
COMPUTER SKILLS

Knowledge of Microsoft products (Word, Excel, PowerPoint, Outlook) is required
