Compliance & Client Services Account Associate Job Summary:
The Compliance & Client Service Account Associate is responsible for assisting in carrier access and renewal licensing for employees who are responsible for the sale and marketing of insurance products. This position will work with state agencies to obtain business licenses, certificates of good standing, and other documents as required. Other responsibilities include ensuring compliance with all applicable state regulations and maintaining necessary records.
In addition, the Compliance & Client Service Account Associate is responsible for assisting the Client Services department with the development, implementation and troubleshooting of agency services platforms and products, along with processes and education development related to the agency’s E&O program. This position will maintain service information in the departments project management system.
The Compliance & Client Services Account Associate performs all other essential functions noted below, while meeting the quality and service standards developed by the agency.
Qualifications for the Compliance & Client Services Account Associate:
- Previous Property & Casualty and/or Life & Health Insurance experience preferred.
- Consideration of attaining Property and Casualty and or Life & Health Agents Licenses.
- Knowledge of insurance products and markets and compliance and risk management issues.
- State Insurance licensing knowledge & experience.
- Knowledge of state regulations related to insurance licensing.
- Proficient with Microsoft Office Suite (including Publisher), Sircon, Applied Epic, Monday.com, PDF-Xchange Editor
- Some travel required, possibly out of state, relating to implementing and training of employees and clients on agency services.
- Ability to understand and communicate orally and in writing with others to explain complex issues, receive and interpret complex information, and respond appropriately.
- Excellent time management skills with a proven ability to meet deadlines.
- Excellent interpersonal and customer service skills.
- Confident, self-starter who works well independently.
Essential Functions for the Compliance & Client Services Account Associate:
- Coordinates with Human Resources and Supervisors to obtain necessary information to request new or renew employee insurance licenses.
- Maintains detailed documentation of all current licenses held within the organization.
- Processes agent appointments with P&C, health, life, and medical insurance providers.
- Preparation and delivery of open enrollment materials, including Employee Benefit Booklets, Selection Forms, Rate Grids, based on information provided by the benefits department.
- Provide training to other agency staff members on open enrollment materials and other services as assigned.
- Assist the Client Services Strategist with the agency’s portals, including but not limited to the Risk Management Center portal, Human Resource Information System, Client Access (CSR24) portal, and Mineral.
- Assist the Client Services Strategist with ERISA Wrap Documents, 5500’s, Experience Mod Analysis, Flipbooks, MLR Rebate Calculations, and other services as assigned.
- Assist in preparation of training materials on services and presentations for meetings, including the creation and maintenance of the Client Services Loop intranet site.
- Maintain accurate documentation of conversations, emails, etc. in the departments project management system to assure all team members are informed.
- Assist in preparation of proposal materials for clients and prospects, including proactive service timelines.
- Track adoption and usage of service platforms and products.
- Assist in creation and maintenance of agency and department newsletters, forms, documents, playbooks, and other materials as requested.
- Attend client meetings (in person, via virtual meetings, via telephone conversations, or via E-Mail) to support the Client Services Strategist on delivery of services.
- Assist in the education of agency staff on issues related to E&O and assistance with the agency E&O policy and annual audit as requested.
- Ability to develop reports and present assessments and evaluations of project data in a variety of formats.
- Works with the Directors from both departments to create, implement, and monitor department processes and, shares information that can improve overall agency operations.
- Sets priorities and manages workflow to ensure efficient processes.
- Keeps up to date with state licensing, business filing, & tax filing requirements to improve knowledge and performance.
