Ullmann Wealth Partners is seeking a highly motivated and detail-oriented individual to join our wealth management firm as a Client Services Associate. In this role, you will be a client-facing professional, working closely with a team of Wealth Advisors. You will be responsible for setting up new client accounts, managing financial transactions, addressing customer concerns and inquiries, and supporting our Director of Trading.

DUTIES AND RESPONSIBILITIES:
- Act as a primary point of contact for clients, providing exceptional service and maintaining the highest level of confidentiality and discretion in all business matters.
- Provide back-office investment operations support to financial advisors and their clients while working closely with our custodian, Fidelity, to execute all client service requests.
- Ensure new business paperwork is accurately and successfully submitted. This includes preparing forms to be presented to clients, obtaining appropriate signatures, submitting, and following up on new account documentation.
- Submit and process certain operational requests as instructed by the Wealth Manager and/or client. These may include funds distributions, deposits of checks and journals, client, and account updates, ACAT initiation, and other operational tasks.
- Coordinate with the wealth advisors to ensure certain reports are reviewed and addressed, such as insufficient funds for periodic distributions and unmet RMDs.
- Mitigate risk through appropriate authentication standards. This includes authenticating incoming and outgoing client calls. We are required to perform authentication callbacks for high-risk transactions, such as third-party distributions, profile changes, and wire transfers.
- Deliver efficient and responsive resolution for various client situations.
- Research and resolve problems with both internal and external clients accurately.
QUALIFICATIONS:
- Prior experience working in the Wealth Management industry is required.
- Previous experience within Fidelity’s Wealthscape™ platform preferred.
- Demonstrated experience in delivering exceptional client service, with a strong commitment to building and maintaining positive client relationships.
- Excellent verbal and written communication skills, including the ability to convey information clearly and concisely to clients and colleagues.
- Strong organizational skills with the ability to manage multiple tasks, prioritize responsibilities, and meet deadlines in a fast-paced environment.
- Proven ability to identify client needs, address inquiries and concerns, and collaborate with team members to resolve issues efficiently and effectively.
- Meticulous attention to detail in maintaining accurate client records, processing transactions, and ensuring compliance with regulatory requirements.
- Comfortable using financial software, CRM systems, and digital tools to streamline client interactions, track client communications, and enhance overall service delivery.
- Collaborative mindset with the ability to work effectively within a team environment, support colleagues, and contribute to a positive and productive work culture.
- Commitment to upholding ethical standards, confidentiality, and compliance with industry regulations and company policies.
