Overview: We are seeking a highly organized and proactive Law Office Manager/Operations Manager to join our dynamic team. The ideal candidate will be responsible for refining business processes, managing systems, and ensuring the profitable operation of our firm. This role requires strong leadership, excellent financial acumen, and the ability to oversee daily operations seamlessly.
Key Responsibilities:
- Business Process Refinement and Systems Management:
- Ensure the profitable operation of the firm through efficient business process refinement and systems management.
- Supervise the daily operations to ensure seamless functionality and performance.
- Employee Leadership and Performance Management:
- Lead, manage, supervise, vet, and terminate employees as necessary.
- Develop and enforce operational policies and procedures to boost efficiency and productivity within the firm.
- Financial Analysis and Reporting:
- Analyze financial data and compile reports for senior management to facilitate informed decision-making processes.
- Monitor and evaluate key performance indicators to pinpoint areas for enhancement and promote operational excellence.
- Vendor and Staff Management:
- Manage relationships with bookkeepers, accountants, technology systems, and other vendors.
- Oversee hiring processes, including posting jobs, reviewing applicants, conducting initial interviews, and scheduling follow-ups for the team.
- Legal Operations Management:
- Ensure matters are handled appropriately to meet client needs, legal and ethical requirements, and provide excellent service.
- Supervise matter management and train new attorneys within our ecosystem.
- Client Relations and Proposal Structuring:
- Structure proposals, service inbound leads, and maintain strong client relations.
Requirements:
- Proven experience in operations management, preferably within a law firm or legal environment.
- Strong leadership and employee management skills.
- Excellent financial analysis and reporting capabilities.
- Ability to streamline processes and enhance cross-functional communication channels.
- Proficiency in managing technology systems and vendor relationships.
- Exceptional organizational skills and attention to detail.
- Strong interpersonal and communication skills.
Compensation:
- Base salary of $50,000 with potential bonuses up to $25,000 after the first three months, based on performance and other soon to be determined KPIs.
