BASIC PURPOSE & DESCRIPTION : The Grant Coordinator will play a key role in the development of grant proposals and the execution of related contracts. The work will include various activities associated with proposal development including collection and organization of required request for proposal (RFP) or grant application data, filling out the proposal documents, dissemination of proposal materials to team members, maintaining boilerplate content, and proposal schedule, team meetings, and action item tracking and maintenance.
MAJOR RESPONSIBILITIES:
Act as the primary owner of grant mailbox and opportunity platforms
Circulate opportunities to respective business line leader and Trillium’s VP for decision on pursuing opportunities and follow up accordingly
Coordinate kickoff, check-in, and final approval calls with relevant parties
Research, collect, and maintain boilerplate proposal content and data
Organize project information into database such as Microsoft Teams and maintain data quality as project progresses
Develop a proposal schedule and deliverables checklist
Adhere to project deadlines to ensure timely completion
Ensure that proposals adhere to application and RFP requirements (e.g., page limits, font size, content requirements, etc.)
Review all grant RFPs and understands grant requirements. Ensures final grant package is compliant with grant requirements.
Compile and submit any bid-related data such as clarification questions or exceptions on time and in required format
Handle meeting logistics, including preparing agendas, taking and distributing meeting minutes, and preparing materials as needed
Coordinate with marketing team to create covers, organization charts, and graphics
Use boilerplate proposal content to draft new proposals and circulate to respective parties for final content
Assemble, quality check, and submit business proposals
Compile and catalogue post-proposal analytics for lost deals and submission of FOIA requests
Maintain 3rd party portal usernames and passwords
Support proposal replication and packaging efforts as needed
Complete all proposal forms and obtain necessary signatures
Supports post award needs including salesforce input, administrative/document gathering, project numbers, kick off/handover doc development, etc.
Support grant compliance efforts as needed
EDUCATION AND PHYSICAL DEMANDS:
Education:
High school diploma required
Bachelor’s Degree preferred
Experience:
1-3 years’ relevant work experience in an alternative fueling industry preferred.

Advanced PC skills: Word, Excel, Access, Adobe Acrobat, and Teams

Occasional lifting up to 25 pounds
Manual dexterity sufficient to operate a computer keyboard and calculator
Requires normal range of hearing and vision
