Job Description:
We are looking for a detail-oriented and experienced Surgical Coordinator to join our team at CitiMed. The Surgical Coordinator will be responsible for accurate and timely scheduling of our surgical and pain management procedures. This role requires meticulous attention to detail and a proactive approach to help manage this portion of a patient’s journey to wellness.
The ideal candidate is a proactive, self-starting, and enthusiastic leader who is ready to dive in, identify opportunities, create strategic plans, act and follow through with the patients’ best interest in mind, to make dramatic impacts to our Surgical coordination department. We are looking for a resourceful, bright, proactive associate who works well independently and as part of a team in an ambiguous environment across time zones. Reporting to the Surgical Coordinating Supervisor, this position will be a key member in the success of CitiMed’s future.
Detailed Responsibilities:
- Accurately schedule all surgeries or medical procedures.
- Ensuring scheduling details are up to date and correct such as the use of proper scheduling and medical codes, surgery scheduled with appropriate provider, time and location.
- Effectively utilizes clinical knowledge when determining if appointment is consistent with the diagnosis/indications indicated by the provider.
- Verify patient’s demographics and assist patient in completing accurate documentation of informed consent with patients for procedures and surgeries as needed.
- Creating follow-up appointments post-surgery for patients
- Must be able to communicate with insurance company to finalize details, obtain a preauthorization for the procedure and sort out necessary details.
- Must be able to communicate consistently and timely with the practice locations on a daily and weekly basis.
- Communicate effectively and daily with any domestic and international colleagues pertaining to the coordinating role.
- Arrange all pretesting appointments with appropriate doctor to obtain medical clearance to move forward with surgery.
- Entering necessary notes/special instructions as needed and keeping medical records up to date.
- Place confirmation calls to all appropriate parties prior to scheduled surgery.
- Collects and distributes important paperwork to all parties as needed.
- Provides accurate, detailed information to patients regarding test preparations, time of patient's scheduled arrival, and any other directional information needed; takes appropriate action in responding to questions from patients.
- Reviews discharge instructions with patients and ensures proper follow-up appointments are scheduled at the time the procedure is scheduled.
- Performs all aspects of patient care in an environment that organizes patient safety and reduces the likelihood of medical/health care errors.
- Serves as a liaison between referring physicians and patients for the communication of all information regarding the scheduled procedures.
- Performs other related duties
Requirements:
- Experience working in a NY workers compensation and No Fault
- Minimum of 1 year of experience in a surgical coordinating setting pertaining to Workers Compensation and No Fault
- Proficiency in using EHR systems
- Strong leadership and team management skills. Ability to critically think and provide solutions and action plans on issues.
- Excellent communication and interpersonal skills
- Ability to work independently and multitask in a fast-paced environment
Preferred Experience
· Minimum 2-5 years of Workers Compensation/No-Fault Surgical Coordinating experience
· Understanding of NY regulations on Workers Compensation and No-Fault
· Knowledge of HIPAA guidelines and compliance

Hourly Rate/ Salary depends on experience.
Job Type: Full-time
Pay: $17.00 - $20.00 per hour
Expected hours: 40 per week
