Position: Administrator/Bookkeeper
Key Responsibilities:
Administrative Duties:
- Office Management: Manage office supplies, coordinate schedules, handle correspondence, and ensure a well-organized and efficient office environment.
- Meeting Coordination: Organize meetings, prepare agendas, and take detailed minutes. Follow up on action items and ensure timely completion.
- Record Keeping: Maintain and update company records, ensuring all documentation is accurate, securely stored, and easily accessible.
- HR Support: Assist with HR tasks such as onboarding new employees, maintaining personnel files, and ensuring compliance with HR policies.
- Communication: Act as a point of contact for internal and external communications, providing exceptional service and support. Address inquiries and relay messages promptly.
- Event Planning: Assist in planning and coordinating company events, ensuring all logistical details are handled seamlessly.
Bookkeeping Duties:
- Transaction Management: Maintain accurate financial records and ensure proper documentation of all transactions. Verify and process invoices, expense reports, and receipts.
- Accounts Payable & Receivable: Process accounts payable and receivable, ensuring timely payments to vendors and collections from customers. Resolve any discrepancies promptly.
- Bank Reconciliation: Reconcile bank statements and monitor cash flow to ensure financial stability. Investigate and resolve any discrepancies.
- Payroll Processing: Assist with payroll processing, ensuring accuracy and compliance with regulations. Track employee hours, manage deductions, and handle payroll queries.
- Financial Reporting: Prepare financial reports, summaries, and statements for management review. Provide insights and recommendations based on financial data.
- Budgeting & Forecasting: Support the preparation of budgets and forecasts, providing detailed analysis and projections to aid in strategic planning.
- Audit Support: Assist with internal and external audits by providing necessary documentation and information. Ensure compliance with financial regulations and standards.
Qualifications:
- Proven experience in administrative support and bookkeeping roles.
- Proficiency in accounting software (e.g., QuickBooks) and MS Office Suite (Excel, Word, Outlook).
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks and prioritize effectively.
- High level of integrity and confidentiality in handling sensitive information.
- Degree in Accounting, Finance, Business Administration, or related field is preferred.

Pay: $20.00 - $24.00 per hour
Expected hours: 35 per week
