Seeking a highly professional Administrative Assistant to provide advanced administrative support associated with office operations. Will be involved with complex and confidential departmental information. Responsible for coordinating department workflow, coordinating intricate calendars and travel arrangements, notifying management of issues that require immediate attention, anticipating the director’s upcoming needs, drafting and distributing details of highly confidential information with discretion and cautionary judgement upon request, making basic commitments on the director’s behalf when interfacing with internal and external contacts, and independently resolving simple conflicts with the director’s best interests in mind.
- Complete work assignments autonomously by applying up-to-date expertise in subject area to generate creative solutions, ensure all procedures and policies are followed.
- Collaborate cross-functionally to solve business problems, escalate issues or risks as appropriate, communicate progress and information.
- Draft presentations, handouts, reports/spreadsheets, graphics, status reports, resource management reports, and other deliverables with regular review from senior colleagues; write detailed correspondence (e.g., letters, reports, confidential documents) to staff, managers, and external members/providers.
- Assist the resolution of requests from department managers on an ad-hoc basis, anticipate and offer assistance for business needs (e.g., manager email requests) that require support.
- Receive, screen, and refer incoming and outgoing emails, calls, and visits to the appropriate staff member.
- Minimum high school diploma required; Bachelor Degree preferred
- 3+ years of administrative support in a business office environment
- Thorough working knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
- Ability to multi-task and prioritize
- Strong time management ability
