POSITION DESCRIPTION
Job Title: Billing Specialist
Reports To: Billing Manager
POSITION SUMMARY:
This position is responsible for managing timeliness of invoicing and record keeping at the
Corporate level; including approval of invoices coming from the Branch level and ensuring proper billing practices for accurate A/R processing.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Include the following. Other duties may be assigned.
- Reviews and verifies Water Hauling and Traffic tickets for accuracy.
- Reviews and prepares daily spreadsheets to create A/R documents for internal and external verification.
- Enters billing information into customer software to create billing templates.
- Create invoices in billing software, upload complete invoices for review by Billing Manager
- Reviews internal and external reports to identify errors and makes necessary corrections.
- Works with Billing Manager and customers to resolve billing disputes.
- Responsible for communicating with branch admins and customers to ensure proper record keeping per customer requirements. Services multiple customers.
- Maintains a dependable work attendance record with extremely infrequent absences and/or lateness.
- Serves as Administrative Assistant when primary Admin is unavailable due to PTO, rotation schedule, etc.
- Performs other special projects and duties as assigned.
SUPERVISORY RESPONSIBILITIES:
This position currently has no direct supervisory responsibilities but has oversight of the accuracy and timeliness of invoicing.

EDUCATION and/or EXPERIENCE:
1. High school diploma required
2. One to three years’ Accounts Receivable/Billing experience preferred.
3. Self-starter with creative problem solving skills and excellent follow through.
4. Ability to adapt to change quickly and to multitask.
COMPUTER/TECHNICAL SKILLS:
Must possess basic level skills in the use of personal computers, Microsoft Office Suite software, including Excel, Word, email, and any other enterprise specific programs.
EQUIPMENT USAGE:
Must have the knowledge and experience necessary to operate office equipment such as desktop and/or laptop computers, copiers, scanners, fax, postage meter and telephone.
LANGUAGE SKILLS:
Must have ability to read and comprehend a moderate level instructions, create short basic correspondence and emails. Must possess ability to present information one-on-one to customers, management and other employees of the organization.
MATHEMATICAL SKILLS:
Must be able to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, percentages and decimals.
REASONING ABILITY:
Must have the ability to analyze and solve problems and independently consider and evaluate a variety of concrete variables in situations where only limited standardization exists. Must have ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
