Key Responsibilities:
- Manage the front desk operations, including greeting visitors, answering phone calls, manage incoming emails, and responding to inquiries promptly.
- Coordinate office activities and operations to secure efficiency and compliance with company policies.
- Oversee office supplies inventory and place orders when necessary.
- Schedule and coordinate meetings, appointments, and events.
- Assist in project coordination and event planning as needed.
- Handle clerical tasks such as filing, proofreading documents, data entry and maintaining records.
- Ensure excellent customer service by addressing customer concerns and inquiries professionally.
- Handle and protect sensitive documents and information.
- Maintain a professional appearance of the front office area.
Key Requirements:
- Bilingual in English and Spanish
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook. & Teams)
- Strong communication and people skills to interact effectively with clients and visitors.
- Proven experience as a receptionist or front office coordinator is a plus
- Familiarity with office procedures, including file management and proofreading.
- Excellent phone etiquette and communication skills.
- Ability to manage calendars efficiently for scheduling appointments and meetings.
- Reliable and dependable to be able to maintain work schedule
- High school diploma; additional qualifications will be a plus
