Receiving direction from the Department of Psychiatry’s senior administrative manager for research in the Charlestown Navy Yard research complex, the Grant Coordinator will support Psychiatry’s Gerontology Unit (GRU) and Neuroimaging research programs by providing grant coordination and salary allocation changes, as well as administrative support to the research administration team (i.e. associate chief, senior administrative manager for research, principal investigators (PIs, etc.) The incumbent will be responsible for performing pre and post award activities, along with various administrative functions, including purchasing, accounts payable, and reporting as needed or requested. The grant coordinator will also be responsible for grant/contract proposal submissions, financial oversight, compliance, and daily administrative and operational requirements of assigned portfolio.
Grant Coordination
- Assist with developing proposals in Insight ASSIST and other sponsor portals
- Advise PIs on grant proposal submissions including all administrative and budget components (e.g. budget/justification components, allowability of costs) new, continuing, and competing applications.
- Assist with preparing detailed budgets and justifications, as well as gathering administrative documents from all personnel included on the proposal as assigned.
- Review proposals for completeness and compliance with application instructions, as well as with sponsor and institutional policies as assigned.
- Provide formal training and assistance to clinical research coordinators, fellows and principal investigators on grant submission procedures and grant software (i.e. Insight and ASSIST).
- Assist in the submission of annual progress reports.
- Assist with Just In Time requests
- Stay current with all new and existing regulatory requirements and institutional policies/procedures, and keeps PIs informed of changes.
- Coordinate collection and preparation of data and/or narrative reports required of the Department by sources that are internal or external to the hospital.
- Process eCheck requests and POs on an as needed basis.
- Perform special projects for the Department, including those as directed by the AD for Psychiatry Research.
- Attend monthly MGB Research Forum, Research Administrators Discussion Group (RADG) meetings, Psychiatry Grant Administrator meetings, and Psychiatry quarterly research meetings; keep current with federal (NIH in particular), state and other requirements, timelines and policy issues.
- Assist the grant administration team in the preparation of presentation materials, and reports.
- Complete other duties as assigned.
Peoplesoft/Workday payroll/personnel duties:
- Submit salary allocation requests to through the personnel system, provide guidance to PIs and staff on the changes, and monitor salary changes on funds.
- Resolve day-to-day administrative problems with salary allocation transactions. Troubleshoot problems and take measures to correct them.
- Submit Annual Career Conference reviews and performance evaluations to appropriate offices.
- Submit merit increases, special payments, transfers, terminations, etc.
- Timekeeping responsibilities in UKG for assigned weekly staff.
- Approve training requests.
- Ability to work and make decisions independently with minimal supervision and guidance.
- Must be analytical and organized; able to prioritize and handle multiple tasks and deadline pressures.
- Solid customer service skills are needed as well as the ability to work successfully as a member of a team in a large organization. Ability to interact with individuals at all levels of the organization.
- Skill with spreadsheets and databases is needed. Must be thoroughly familiar with MS Office.
- Must pay particular attention to detail and deadlines.
- Excellent interpersonal/communications skills.
- Ability to maintain utmost confidentiality as this role interfaces with sensitive financial and salary information.
- Strong organizational, communication, and computer skills and experience in financial and grant-related skills/programs.
Qualifications
- Bachelor’s degree with one year relevant administrative or research experience. Demonstrated pre- and post-award experience a plus.
