Administrative Assistant/Construction Administrator
We are seeking an experienced and motivated individual to fill a critical and key supporting role as a Constructions Administrative Assistant for a general contracting company.
Responsibilities:
- Provide administrative support to the Owners, Project Manager and Shop Manager.
- Perform general office administrative duties with an emphasis on administrative project support.
- Responsible for sending and updating customers invoices using (Quickbooks) and following up on selections.
- Ordering supplies and materials.
- Send/receive customer contracts and follow up on customer orders.
- Project scheduling of the trades/subcontractors, vendors and appointments.
- Maintain general office documentation, templates and contact lists.
- Produce and distribute correspondence, letters and forms.
- Reply to emails, telephone or face-to face inquiries swiftly and professionally.
- Take accurate notes of phone messages and promptly deliver to proper recipients.
- Update social media.
Qualifications:
- Self-starter with ability to multi-task, remain organized and prioritize daily tasks and projects. Detail oriented, organized, pays close attention to detail.
- Problem solver and critical thinker.
- Dependable and punctual.
- Must have effective verbal and written communication skills.
- Understanding of general ledger accounts and general bookkeeping skills.
- Excellent customer skills over the phone and in person, both with customer and all in house personnel.
- Proficient knowledge of Microsoft Office.
- Familiarity with construction management and willingness to learn Buildertrend software and other applicable software.
- Understanding of construction industry terminology, processes, and project phases to effectively communicate with team members and stakeholders.
Education:
- High School Diploma or equivalent
- Previous experience as an office administrator, administrative assistant, or similar role, preferably in the construction industry.
