Currently we are seeking Medical Scheduler: Surgery and Procedures in the Bay area or who are in Sonoma, Marin and Napa Counties.

Pay range is $24 to $28 an hour.
SUMMARY
The Schedulers primary function is to facilitate scheduling for all procedures and surgeries for the practice. Serves as the primary point of contact for both patients and physicians to schedule and/or reschedule specific treatments as stated above.
Your expertise in anatomy, physiology, and medical terminology will be essential in scheduling treatment surgeries and procedures. Your collaboration with other healthcare professionals will ensure comprehensive and coordinated patient care, to include the clinical staff, the authorization department communication department and outside affiliates..
ESSENTIAL DUTIES AND RESPONSIBILITIES:

- Compliance with Privacy practices and confidentiality acumen and adherence.
- Be able to communicate clearly with doctors, patients, fellow staff members and scheduling teams at various facilities to ensure our patients are getting the care they need.
- Regular communication with all departments for coordination of surgery schedules and necessary preoperative testing.
- Regular reports schedule updates to surgeons and coordination with surgical facilities.
- Follows established parameters to ensure procedures scheduled with the required amount of time and with the appropriate resources.
- Coordinate schedules, as necessary, with primary care physicians and cardiologists for pre-operative clearance.
- Develop a consistent process for each procedure and follow through checklist when scheduling surgery or treatment plan.
- Gather necessary documentation for surgical procedure.
- Set schedules with facilities well ahead of surgery and according to their requested time frame. Effectively manage surgeon’s schedule.
- Receives all orders coming in from physician's and facilitates any necessary protocols.
- Collects, verifies and updates patient demographics and guarantor information. Confirms eligibility and verifies benefits with authorizations department.
- Articulates information in a manner that patients, guarantors and family members understand. Refers to Authorization Specialist as appropriate.
- Enter information from testing into programs and EMR records as necessary for surgical planning. Enter all necessary information into EPIC
- Fax/communicate as instructed necessary orders maintaining HIPAA compliance at all times.
- Receive and record necessary pre-operative clearance.
- Key contributor to patient satisfaction initiatives by participating in process improvements activities as well as providing a high quality contact experience for the patient with every interaction.
- Provides the patient with preparation instructions pertinent to their service.

SKILLS, QUALIFICATIONS and EXPERIENCE:

- Basic understanding of surgeon and patient needs in order to create the most efficient schedules and provide maximum satisfaction to both.
- Previous experience in registration/scheduling in a healthcare setting.
- Compassion and empathy for patients who are often in pain.
- Communication skills to interact clearly with doctors as well as patients.
- Must be flexible and open to change as the clinic continues to grow and evolve.
- Excellent verbal and written communication skills, ability to speak with patients with empathy and respect.
- At times are able to work under stressful conditions to meet unpredictable time demands.
- Strong attention to detail.
- Ability to write routine reports and correspondence using electronic health record, working knowledge in EPIC is required and working knowledge with EPIC Electronic Heath Record system.
REQUIRED:
- High school graduate or equivalent.
- Has worked in surgical and medical practice for a minimum of 3 (three) years.
- Experienced using electronic practice management system and electronic medical records.
- Minimum 1 (one) year experience using EPIC.
- Reading, math and writing skills with ability to pay attention to detail.
- Computer proficiency in Microsoft Office Suite, MS365, One Drive, TEAMS.
- Ability to maintain a positive work atmosphere by communicating effectively with patients, management, peers, and others.
- Possess strong organizational skills and proactive.
- Must be a person of high integrity, commitment and possess a strong work ethic.
- Ability to manage tasks and complete them in a timely manner.
- HIPPA compliance training (training during onboarding).
- Patient confidentiality training (training during onboarding).
- Must have reliable transportation.
POSSIBLE REQUIREMENTS:
- Clean driving record, DMV check if driving to other sites or on behalf of the company. Company policy reimbursement is by IRS current standards per mile.
- Successfully pass a criminal background check.
DESIRED SKILLS:
- Fluent in Spanish and English
- 2 plus years’ experience in EPIC.
