Job Summary:
The Sales & Marketing Administrative Assistant will be responsible for supporting both sales and marketing teams in the Texas market. This person is responsible for creating relationships with organizations and insurance brokers, maintaining the Broker/Agent Database, and maintaining marketing business cards. To be successful, this person must be organized, creative, and develop innovative ways to attract our targeted audience through events and social media initiatives.
This position will travel to all clinics within the DFW area.
Must have the availability to work weekends, as needed.
- Essential Duties and Responsibilities
- Generate new leads of patients while attending events by informing prospective patients of Valora Medical Group’s services.
- Track and manage all reported leads through events and social media efforts.
- Update leads in the CRM system, and ensure all data is current and accurate.
- Maintain a database of all possible/current marketing sites around each clinic location.
- Run reports for management as assigned.
- Plan, design, produce events supporting the sales and marketing team, include events with agents.
- Calculate weekly/monthly bonus and commission.
- Create weekly/monthly Sales and Marketing reports.
- Maintain contact database.
- Oversee the inventory of company branded products used for sales and marketing.
- Assist the management team with any administrative task.
- Manage meeting minutes for all sales and marketing meetings and distribute them to all applicable parties.
- Propose ideas to improve provided services and event quality.
- Organize facilities and manage all events which include decorating, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material, prizes and giveaways, etc.
- Research the market to identify new event opportunities and generate interest.
- Work with the Marketing team to promote and publicize events.
- Collaborate with the Marketing team in monitoring social medial campaigns and reporting performance outcomes.
- Participate in Health fairs and Community Events to bring awareness of Valora Medical Group.
- Champion the company's vision, mission, and values.
- Additional duties as assigned by management
Qualifications and Education:
- High School Diploma is required
- Bachelor's degree in Sales or Marketing is preferred
- Bilingual in English and Spanish is strongly preferred
- Must possess a valid Drivers License
- Experience in Marketing and/or Healthcare preferred
- Experience working in the Geriatric community is a plus
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Ability to work independently
- Displays good judgment, analytical, and problem-solving skills
- Must have effective written, and verbal communication, and interpersonal skills. Public speaking will be required
- Ability to establish working relationships, resolve interpersonal conflicts, and apply basic staff etiquette in dealing with others
- Must possess negotiation skills to assist in negotiating prices for venues, vendors, and contractors
- Ability to handle confidential information with discretion
- Must have the ability to multi-task
- Ability to learn new procedures and adapt quickly to change
