The Role
ETC is seeking an Exhibitor Support Specialist to manage exhibitor fulfillment and deliverable programs for our nationally recognized conferences and expos. This individual is the point of contact for our exhibitors and sponsors, coordinating the flow of exhibitor information, records, and orders prior to and through the close of our events and conferences. The ideal candidate will work alongside sales and conference team members at our in-person events. Detail-orientation and commitment to quality and collaboration will be key to success in this role.
This is a remote role, and work from a home-based office is permitted up to 5-days a week.
Responsibilities:
The Exhibitor Support Specialist serves as a liaison between the trade show sales team and exhibitors. This position:

Manages projects and deadlines for multiple trade shows concurrently.

Assists in proposal creation for each exhibitor and corresponds with exhibitors from sale through post-event.

Inputs, tracks, and maintains all exhibitor information, records and orders, and routes information appropriately.

Addresses exhibitor inquiries and issues in advance of the event and for its duration, providing customer support and service to exhibitors.

Develops project status reports for management using Excel.

Updates exhibitor and sponsor information on customer-facing web portal, as required.

Interfaces with various company department personnel, including Sales, Event Operations, Marketing, Design and Customer Service.

Provides administrative support as needed to the trade show sales team.
Required Qualifications:

Proficiency using Microsoft 365 applications, primarily Outlook, Teams, Excel, and Word

Effective organizational skills, ability to multitask, and coordinate different aspects of an event.

Ability to handle customer interactions with tact, patience, and professionalism. Experience working with employees and stakeholders at various levels of an organization is preferred.

Ability to communicate effectively, verbally and in writing, with internal staff, clients, and vendors.

Ability to work independently, make decisions within established business guidelines and protocols, and meet deadlines in a remote work environment.

Ability to absorb and retain knowledge following on-the-job training sessions. Strong analytical and problem-solving skills.

Ability to travel for up to five days at a time, including weekends, four to five times per year.
Desired Qualifications:
-
Previous tradeshow, conference, banquet, or convention services experience a plus. 1+ years of practical, applicable working experience are preferred.
- Experience using specialty CRM and conference management software platforms such as Salesforce, A2Z Events, and/or eShow are preferred, but not required.

Previous experience in business-to-business sales support role a plus

Associate degree with at least two years of business or internship experience preferred but not required.
Physical demands of the job include:

Performing work in an indoor office environment
- Operating standard office equipment such as computers, printers, keyboards, monitors, phones, and other telecommunications or internet-enabled communications devices

Possessing short-distance visual acuity to perform an activity such as: entering, preparing, and/or analyzing data and figures, transcribing, viewing a computer terminal, and/or extensive reading.

Lifting and carrying small to medium sized (0-20 lbs) parcels, packages and other items or traversing short distances. Traversing longer distances and/or standing for extended periods of time will be required during conferences and in-person events.
Position Type and Expected Work Hours
This is a regular, full-time role. Most work is typically conducted Monday – Friday, during ETC’s core business hours, between 9:00 AM and 5:30 PM. Travel to events is required.

The annual compensation for this role is $45,000.00 – $50,000.00. Factors used to determine the compensation range for a given position may impact what compensation within the stated range may be offered to any individual candidate (e.g., years of experience, level of education or credentials obtained, geographic and market considerations, etc.).
