Trinity Washington University seeks a dynamic, creative, and organized individual to serve as the Office Manager for the Office of Development and Alumnae Relations. The Office Manager oversees the strategic and day-to-day operations of the Development and Alumnae Relations Office and the Creative Services team, including gift processing, pledge reporting, donor acknowledgements, budget management, vendor relations and donor stewardship activities. The Office Manager maintains supervisory duties for the Development Associate position. This position requires excellent written and verbal communication skills and the ability to prioritize, pivot and multi-task among various duties and responsibilities on a daily basis.

KNOWLEDGE, SKILLS & ABILITIES:

3-5 years of experience in a similar position, preferably in higher education or nonprofit setting.

Excellent writing, verbal communication and leadership skills.

Detail-oriented, active listener, pro-active communicator, self-starter and ability to multi-task.

Strong record management skills and working knowledge of donor database systems (Raiser’s Edge).

Ability to manage complex projects across university departments and engage with staff at levels above/below and laterally.

DESCRIPTION OF DUTIES AND TASKS:

Manage and support the day-to-day operations of the Development and Alumnae Relations Office including gift processing, donor acknowledgements, budget and donor stewardship reporting.

Oversee daily procedures for processing all donations and pledges and ensuring accuracy of all data entry and validation of daily gift batches.

Manage budget reporting, including Purchase Orders, check requests, and reimbursements for Development, Creative Services and Alumnae/i Relations.

Manage and track donor pledges and generate monthly reminders from Raiser’s Edge.

Work closely with the Financial Aid Office and the Business Office for scholarship reporting, ensuring accuracy in providing scholarship and other donor reports.

Hire and manage work-study students for overall office support.

Handle all incoming calls and emails for Development Office, including general inquiries from donors, alumnae/i and other staff.

Manage and track all office supplies.

Oversee external vendors for the Development and Alumnae Relations Office.

Review and validate gift batches received from DS before final entry into Raiser’s Edge.

Request and manage the creation of new gift accounts for RE (with Business Office)

Develop and provide donor update reports for all endowed and expendable scholarship funds.

Design and execute creative cultivation strategies and techniques to enhance the stewardship and reporting process.
