Job Overview
We are seeking a highly organized and detail-oriented Facility Coordinator to join our team. The successful candidate will be responsible for ensuring the smooth operation of our facilities, including maintenance, repairs, and upgrades. The ideal candidate will have a strong background in facilities management, industrial maintenance, and the ability to manage a team of technicians.
Duties
- Be the main point of contact for building management and all relevant other vendors:
- cleaning staff, building engineers, building admin office
- Plan, coordinate, and direct special projects as required, i.e., office buildouts, refurbishment, large group moves, activity set-ups, etc.
- Manage Angus ticketing system, ensure vendor closed tickets are fixed, escalate when needed, and keep organized in a way for the management team to easily track
- Conduct comprehensive building inspections (site walks) of all entire spaces daily, actively search for improvement areas, and make appropriate recommendations.
- Assist Office Manager with training room and kitchen event management, setup/breakdown.
- Ensure COIs are on file, and correct, and current vendors performing work are on site.
- Ensure that all invoices are processed correctly, coded correctly, and paid on time
- Maintain both hard and soft copies of building standards, specifications, and maintenance schedules for all service contracts: janitorial, carpet cleaning, window cleaning, stonework, metal work, woodwork, furniture cleaning, lamp replacement, air diffuser cleaning, landscape maintenance, and pest control.
- Maintain Indeed owned/rented inventory of all facility items (furniture, appliances, etc.)
- Assist with employee ergonomic program
- Regional support assistance for other offices, as needed
- Acknowledge and respond to Service Requests by diagnosing and performing minor and routine maintenance/repair in a timely and professional manner.
- Strive to complete all service requests on a daily basis and accurately document them, including parts, in the work order system.
- The monthly inspection of fire extinguishers and/or other life/safe inspections.
- Various building maintenance duties as assigned by the property management.
- Operation, maintenance, and repair of sanitary sewer systems, including sump pumps, basins, toilets, urinals, and piping.
- Maintenance and repair of trash compactors, including electrical and hydraulic systems.
- Maintenance and repair of kitchen equipment.
- Follow-up with tenant on completed service requests to ensure satisfaction
- Promote good public relations with tenants, clients, co-workers, and company staff
through great “people” attitude and trust. Always display a friendly and courteous attitude
towards tenants, clients, and other employees. Never confront the supervisor or other
employees in front of tenants.
- Routinely inspect tenant and common area spaces (interior and exterior) and proactively perform minor and routine maintenance by company standards, and/or inform the Property Manager of needed services and repairs.
- Duties may include but are not limited to moving furniture, fixtures, and office partitions and repairing locks, doors, hinges, furniture, and other miscellaneous items. The repair and painting of all types of surfaces, indoors and out.
- Repair and maintain commercial kitchen equipment
- Assist in keeping grounds neat and free of litter.
- Organize, maintain, and inventory building stock and supplies and inform the Supervisor of needed stock and/or supplies.
- Coordinate delivery and work schedules with vendors, contractors, and Property
Manager.
- Coordinate maintenance objectives with the Supervisor daily.
- Onsite assistance and coordination working closely with the client, Property Manager, and Chief Building Engineer responding to facility needs and services including contractor procedures and processes.
- Interface with client and client management at various levels on a daily/weekly and
monthly basis developing positive relationships.
- Handle miscellaneous staff needs and client requests outside of the common area building maintenance.
Knowledge, Skills, and Abilities Required:
· 3-5 years of facilities management experience is required.
· Previous experience with maintenance management systems.
· Strong verbal and written communication skills.
· Knowledge of building management and facility and maintenance operations.
· Strong command of Excel/Word/Outlook, Gmail, and Google Suite.
· Minimum GED/HS Diploma required.
· Able to work independently and with a team with accuracy.
· Sound organizational skills and attention to detail.
· Willingness and interest in being a team player.
· Strong customer service orientation.
· Limited travel may be required in this position
· Be able and willing to carry 50 lbs., climb ladders, crawl in confined spaces, and work in outdoor climate on a year-round basis.
· Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus
· Valid Driver License
· Satisfactory driving record
· Be able to pass a Background check
Job Type: Full-time
Pay: $65,000.00 - $70,000.00 per year
