Summer Hours: Monday to Friday: 8:00 a.m. – 3:00 p.m.

Position Summary: To perform selected duties in a professional, efficient and organized manner so as to contribute to the efficient operation of the school.
Essential Responsibilities
Registrar
-
Post completed transfer coursework by the beginning of the student’s start semester
-
Process educations verifications
-
Print, sign, seal, and send transcripts as needed (alumnae records)

Print and send school profiles when requested
-
Maintain permanent records for graduates and withdrawn students
-
Update student record files as necessary (new freshmen, graduates, etc.)
-
Update Naviance with GPAs and test scores as they become available
-
Run semester honor roll, post in the cafeteria, and forward to the Director of Marketing/Communications and middle school principal(s)

Maintain standardized test scores on permanent record cards and in Naviance
-
Transfers admissions records into the relevant school records system within Blackbaud
-
Prepares transcripts in conjunction with the business office
-
Prepares diplomas
-
Assists Dean of Academics with the master schedule
-
Work with Receptionist to track attendance and contact parents
-
Assist the Admissions team with incoming student files
Software and Information Management
-
Maintain the integrity of student records in Blackbaud
-
Update database as necessary
-
Prepares lists/reports of data from Blackbaud upon request (class lists, zip code, parishes, etc.)
-
Assigns myIWA accounts to new parents and students
-
Manage myIWA permissions for parents and students (financial holds) in Blackbaud
-
Serves as the myIWA contact point for parents, students, and staff (resetting passwords, etc.).

Initiates and distributes user names/passwords for myIWA at the beginning of the school year.

Assists in training of teachers to gradebook entry and maintenance
Gradebooks and Reports
-
Review lesson plan submissions weekly
-
Distribute and track tutoring/intervention forms
-
Monitor gradebook entries weekly
-
Notify teachers of due dates for progress reports and report cards
-
Print and review submitted grade sheets for errors
-
Process quarter and semester report cards
-
Provides counselor and Dean of Academics with D & F reports weekly
-
Process GPA, class ranking, and semester honor roll
-
Provide honor roll listing to Principal and Dean of Academics
-
Share Honor Roll list of students with their middle school principal each semester
-
Verify teacher gradebooks and pacing of grading
-
Maintains list of students who require summer school and tracks completion of required courses at the end of each semester

Notifies appropriate school personnel of summer school incompletes or failures
Support for Counseling Office

Verify successful completion of courses, credit recovery and transcripts

Assist with Career Day as needed

Create Top 10% report for rising Seniors

Support communicate with parents
Miscellaneous

Analyze data and provide reports as requested

Maintain buses and bus driver calendar

Input master calendar as directed by the principal

Prepare mailing labels for mail outs

Keep minutes for school leadership meetings

Assist in the planning and presentation of in-services
