Title: Client Services Specialist
Reports to: Primary – Client Services Coordinator; Secondary – Director of Programs
Primary Functions: Responsible for performing multiple tasks within the Client Services Program to ensure client’s eligibility, linkage, and access to programs and services. Cross-trained to assist with other program functions as needed.
Duties and Responsibilities:
· Complete new client intakes to enroll into eligible services as well as required biannual client updates to maintain eligibility for services
· Receive new client referrals and other relevant documentation to help schedule client appointments; return calls or contact clients to help ensure program schedule is maintained
· Inform clients regarding eligibility requirements for Ryan White HIV/AIDS program funded services
· Accurately complete all agency forms and related client paperwork; collect and maintain all required documentation to access services in client files and submit for quality control review and processing
· Accurately submit record of all services provided weekly for billing, tracking and data reporting
· Support functions of front desk reception which include answering and routing calls, providing requested information to clients and visitors, and managing the controlled entrance to the facility
· Cross-train in a variety of other agency programs and functions to help back up and maintain daily operations such as assist with bus pass distribution to clients, assist with services in the Daire Center Meal Program, help provide Linguistic Services (if bilingual), and support agency community engagement efforts
· Follow Standards of Care; participate in quality initiatives and performance measures as directed
· Attend staff meetings, in-services and trainings; attend applicable county meetings and trainings as assigned; participate in committees as assigned; participate in agency activities
· Undertake other duties as assigned
Relationships:
· Maintains daily direct contact with supervisor; interacts appropriately with other peer staff daily and management as needed. Follows policies and procedures; maintains professional behavior and boundaries in the workplace; cooperates respectfully; interacts appropriately with clients; interacts with other service providers, volunteers, supporters of AIN, and/or the general public as needed, and represents AIN appropriately in any settings at all times; maintain client confidentiality at all times
Qualifications:
· Completion of high school diploma required; prefer Bachelor’s degree in Social Work, human services, or related field
· Prefer background and/or related training, practicum or work experience in social/human services, case management, advocacy, HIV services, and/or medical-related services
· Prior experience working with Ryan White and/or State grant regulations is a plus but not required
· Able to work full-time on-site in assigned office space
· Cultural sensitivity, awareness and understanding of persons living with HIV/AIDS, effects on clients, and the ability to appropriately interact and respond to racial, ethnic, cultural, and generationally diverse clientele and staff
· Able to communicate at level appropriate to job both orally and in writing
· Strong interpersonal skills; able to engage clients and work directly with clients
· Able to follow and apply policies, procedures, standards, and other regulations, and efficient with completing forms and required documentation
· Behaves in ethical manner, person of integrity, mature attitude, patient and respectful
· Efficient; organized; able to perform multiple tasks at the same time; time conscious
· Able to work cooperatively with other staff as part of a team as well as independently
· Takes initiative and self-motivated, but also responsive to feedback, guidance and supervision
· Prompt, arrives for work on time; begins and completes duties timely
