Job Description
Urbanex is seeking a highly organized and proactive Senior Executive Assistant to provide comprehensive support to our CEO and the Vice Presidents of four internal departments (The Executive Team). The ideal candidate will excel in managing projects, coordinating events and assisting with various administrative tasks. This role requires a self-starter with excellent communication skills and the ability to handle multiple priorities in a fast-paced environment.
Responsibilities:
- Serve as the direct assistant to the CEO and Executive Team, managing their calendar, scheduling appointments, and prioritizing tasks to optimize productivity

Acting as the first point of contact for the executive, handling incoming calls, emails, and mail

Provide assistance to other executives as needed, supporting their daily activities and ensuring smooth operations across the organization

Follow up on action items with relevant stakeholders to meet critical deadlines

Conduct research, gather data, and assist in the preparation of reports and presentations

Work with all levels of the organization to coordinate information and the support of staff members for reporting or a project basis

Strong problem-solving and decision-making skills, with a proactive and solution-oriented mindset

Ability to handle sensitive and confidential information with integrity and professionalism

Maintain and update records and databases, ensuring accuracy and confidentiality

Coordinate and organize events, conferences, team meetings and team-building activities
Qualifications:
- Bachelor's degree or equivalent experience in a related field

3+ years of experience as an executive assistant or in an administrative support role

Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously

Excellent communication and interpersonal skills, with the ability to interact professionally with executives, colleagues, and external partners

Proficiency in calendar management, inventory tracking, and MS Office Suite applications

Detail-oriented with a high level of accuracy in all work tasks

Ability to work independently with minimal supervision, while also collaborating effectively with a team

Flexibility to adapt to changing priorities and willingness to take on new challenges as needed
