Job Summary: We are a reputable medical office specializing in Traditional Chinese Medicine (TCM) treatments. Our clinic is dedicated to providing holistic healthcare services to our patients, fostering a welcoming and healing environment. Located in the heart of Downtown Cupertino, we are seeking a dedicated and organized Administrative Assistant/Office Manager to join our team.
This position will start from part time and gradually turn into full time within 3 months. Trial period: 2-3 months.
Key Responsibilities:
1. Greeting Customers
- Warmly welcome patients and visitors as they enter the clinic.
- Ensure a positive first impression by maintaining a friendly and professional demeanor.
- Assist patients with checking in and completing necessary paperwork.
- Answer general inquiries about the clinic’s services and TCM treatments.
2. Scheduling
- Manage the appointment calendar for all practitioners, ensuring optimal scheduling to maximize efficiency and patient satisfaction.
- Handle rescheduling and cancellations promptly and efficiently.
3. Administrative Work
- Billing and Claims Management:
- Process patient billing, including preparing invoices and handling payments.
- Submit insurance claims accurately and follow up on outstanding claims.
- Resolve billing issues and answer patient queries related to billing.
- Maintain detailed and accurate financial records.
- Patient Records Management:
- Maintain up-to-date and confidential patient records.
- Ensure all patient information is accurately entered into the clinic’s database.
- Handle requests for medical records in compliance with privacy laws and regulations.
4. Inventory Management
- Monitor and manage the inventory of medical supplies, herbal products, and office supplies.
- Place orders to replenish stock as needed, ensuring there are no shortages.
- Maintain an organized and efficient storage system.
- Conduct regular inventory audits and manage stock levels to prevent overstocking.
5. Office Management
- Oversee the daily operations of the front office, ensuring a clean and organized environment.
- Coordinate with cleaning staff and ensure the clinic is well-maintained.
- Manage office equipment and arrange for repairs or replacements as necessary.
- Implement and maintain office policies and procedures to ensure smooth operations..
Qualifications:
- College Degree
- Excellent bilingual (Chinese/English) communication and interpersonal skills.
- Strong organizational and multitasking skills.
- Proficiency in office software (e.g., Microsoft Office)
- Knowledge of medical billing and insurance processes.
- Ability to handle sensitive information with discretion and confidentiality.
- Familiarity with TCM practices and terminology is a plus.
