Position Title: Receptionist and Labeling Administrator Status: Full-time
Position Overview and Primary Duties: The Receptionist and Labeling Administrator is responsible for welcoming clients to office, labeling required documents, and supporting the automotive brokers and management team throughout the sales and delivery process.
Primary Duties:
- Greet Customers and Vendors at front desk in a professional, friendly, and timely manner.
- Notify broker when a vehicle is dropped off by a vendor.
- Handle and route incoming phone calls.
- Label Deals using proprietary HMB Customer Database.
- Verify and modify existing customer records as needed.
- Assign stock numbers to vehicles, verify tax rates & complete input in proprietary and non-proprietary customer data bases.
- Prepare drafts/checks for dealerships, purchases, inceptions, etc.
- Preparation of all documents needed by broker(s) to complete successful vehicle delivery.
- Maintain and ensure that all the required office forms are current and readily available for brokers.
- Responsible for receipt and distribution of any incoming mail or UPS shipments as well as handling any requests for outgoing mail or UPS shipments.
General Office Duties:
- Monitor, organize and order all office, kitchen, first aid and any additional supplies needed.
- Manage inventory utilizing the inventory spreadsheet.
- Ensure that all marketing materials are available for brokers and restock when necessary
- Verify all office equipment is properly working and notify GSM and applicable party when needed, to include following up on repair/ maintenance confirming completion.
- Establish or dismantle workspace/offices based on staffing needs and changes.
- Ensure workspace, lobby, kitchen, and conference room are clean and organized daily.
- Additional office and clerical duties as requested by GSM, GM, or Corporate Recruiter.
Minimum Requirements:
- Receptionist and Labeling Administrator must provide a high level of customer service with the ability to prioritize guests and employee needs.
- Experience with data entry with keen attention to detail and accuracy.
- Self-starter with effective time management and organizational skills.
- Must possess a positive attitude while working in a team environment, as well as independently when needed.
- Ability to maintain a friendly, positive and helpful manner while handling phones, greeting and routing customers, vendors and employees.
- A Win-Win, customer-centric attitude is a must and required by all H.M. Brown employees.
PAY RATE: $18.00-$22.00 Per Hour + BENEFITS
