EAST BATON ROUGE PARISH JUVENILE COURT
Minute Clerk
The East Baton Rouge Parish Juvenile Court is seeking a Minute Clerk. The general purpose of this position is to serve as courtroom minute clerk for a Juvenile Court Judge, providing courtroom services in various proceedings under the jurisdiction of Juvenile Court. This position will require current certification as a Certified Digital Reporter (CDR) that is transferrable to Juvenile Court, or the ability to obtain a CDR certification within a reasonable amount of time.
Under the general supervision of a supervisor, performs highly responsible administrative and clerical work involving complex work methods and specialized duties of a legal nature. Work involves taking minutes of court proceedings, preparation and processing of court records including court dockets, court orders, as well as verbatim recording of court proceedings. Employees of this classification should be familiar with legal terminology, legal format, and legal forms. Independent judgment is exercised in the performance of assigned duties. Performs other work as assigned.
Job performance requirements include but are not limited to the following essential duties and responsibilities:
- Swears in witnesses;
- Records minutes of court proceedings by machine or physical shorthand notes and later transcribes into official minutes of the court; maintains minute notations (summary of hearing) in court records; compiles data and necessary papers for appealed cases;
- Marks and catalogs evidence presented during court hearings;
- Assigns court dates for preparation of dockets; prepares and sends official notification to interested parties of upcoming or rescheduled court hearings;
- Prepares and types legal documents including judgments, commitments, appeals, orders and other court ordered actions; collects related statistical data; issues and recalls bench warrants as ordered by the Court;
- Contacts outside agencies to obtain special services such as foreign language or sign language interpreters;
- Screens callers on matters relative to court proceedings and directs callers to the appropriate agency; provides information to attorneys, correlating agencies and court personnel regarding court policies, procedures and status of cases;
- Examines legal documents submitted to court for adherence to law or court procedures; files pleadings submitted during court proceedings and issues certified copies; and routes documents;
- Instructs and assists in processing property bonds;
- Trains and instructs lower level clerical support staff and new clerical personnel on changes in policy and court procedures;
- Assumes the duties of Judges’ Judicial Assistant in their absence;
NECESSARY KNOWLEDGE, SKILLS AND ABILITIES
· Knowledge of legal terminology and legal format; knowledge of business English, spelling, punctuation and basic math.
· Knowledge of court processes and procedures specific to Juvenile Court; knowledge of the Louisiana Children’s Code and Rules of Juvenile Court;
· Skills in taking and transcribing legal dictation, and in the operation of modern office equipment such as typewriters, computer terminals, printers, and association equipment;
· Ability to exercise independent judgment and to make responsible decisions in accordance with established policies and procedures;
· Ability to accurately record court proceedings at a reasonable rate of speed;
· Ability to keep complex, confidential records and prepare statistical reports;
· Ability to plan, modify and carry out responsible and complex clerical, legal, and administrative procedures;
· Ability to establish and maintain working relations with supervisors, attorneys, officials, co-workers, and the public;
· Ability to organize, prioritize and manage workload efficiently;
· Ability to maintain confidentiality of matters handled on a day-to-day basis.
MINIMUM QUALIFICATION REQUIREMENTS
High school diploma, GED, or equivalent certificate of competency, and extensive experience in progressively responsible clerical duties of a legal nature, or any equivalent combination of training and experience.
Must be willing to become a Certified Digital Reporter (CDR), paid for by Juvenile Court.
Starting Salary: $32,215 annually subject to a 3% increase following the successful completion of a six (6) month introductory period, plus annual merit increases. Salary increases upon successfully obtaining CDR court reporter certification, or if applicant currently has CDR that is transferrable from another Court.
