Boutique North Dallas law firm is seeking a friendly and motivated professional to serve as a Receptionist. This key position on the team will support the office with a variety of administrative tasks and is expected to greet visitors and clients, manage multiple meeting spaces, receive and distribute mail and packages, and maintain common areas for daily use. This individual will be equally in front of clients and attorneys as well as behind-the-scenes to execute requested office tasks. The duties and administrative functions will require a polite and approachable demeanor, with knowledge of when to escalate unique problems to supervisors.
This is a full-time position with competitive compensation, medical/dental benefits, 401(k) after qualifying period, and paid time off. The candidate is expected to be in the office 8:30a-5:30p, Monday through Friday.
Primary Responsibilities
· Manage the day-to-day operations of the office reception desk: professionally answer all incoming calls, greet guests, visitors and vendors and direct them accordingly
· Schedule and maintain multiple conference rooms and public spaces, ensuring readiness for meetings
· Collect and distribute mail and packages daily, scanning where needed for proper routing
· Assist with ordering kitchen, copy room, and office supplies and maintain proper stock levels
· Assist attorneys and staff with administrative duties such as document readiness and mailings
Qualifications and Expected Competencies
· High degree of integrity and confidentiality, with strong interpersonal skills
· High level of client service skills and the ability to effectively communicate, both in written and verbal form with clients, guests, attorneys, and fellow staff members
· Ability to manage multiple projects concurrently and transition easily between tasks
· Knowledge of Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams, as well as experience with video conferencing and calendaring
· Willingness to work collaboratively with other team members
· Occasionally necessary to stand for extended periods of time as well as lift items up to 20 pounds
· Previous administrative professional experience preferred
Job Type: Full-time
Pay: $19.00 - $21.00 per hour
Expected hours: 40 per week
