Providence Place is seeking a qualified Part Time Office Assistant. Providence Place has been in existence since 1895 and provides therapeutic counseling, coaching and other support services to move individuals beyond day to day survival. SUMMARY: Provides case management services to eligible community families. Ensures needs are met through engagement focused practices that uphold trauma informed care principles.
ESSENTIAL DUTIES:
1. Moves the agency forward.
2. Upholds the values of integrity, learning, service to the client, and stewardship to the agency.
3. Remains current, knowledgeable, and in compliance with funder and agency regulations, standards, and state and federal laws which regulate the governing of Providence Place activities.
4. Is cross trained and supports agency functions as assigned by supervisor.
5. Serves as primary receptionist.
6. Contributes to the efficiency of the organization by providing personalized and timely administrative support.
7. Communicates with polite, courteous, enthusiastic, professional demeanor tone and style.
8. Welcomes visitors and identifies the purpose of their visit before directing them to the appropriate person, and maintains security awareness.
9. Organizes meetings, including scheduling, sending reminders, and organizing catering when necessary.
10. Maintains comprehensive and accurate records.
11. Assists with the preparation of presentations, as needed.
12. Organizes business files, paperwork, and data.
13. Establishes and maintains effective working relationships and public relations.
14. Prepares mail distribution, including addressing and directing for proper distribution all incoming, written and oral correspondence.
15. Performs other duties as required.
EDUCATION:
Must have a high school diploma or GED. Associates degree preferred.
EXPERIENCE:
Must have at least one (1) year experience as a receptionist; non-profit experience preferred.

Must have the following skills and/or abilities:
Excellent research and attention to details skills
Strong organizational, verbal and written communication, and interpersonal skills.
Multi-Tasking; but able to prioritize what is most important to meet deadlines or expectation
Adaptable and flexible to the situation at hand without losing professional manner
Applies critical thinking and does not need to be told exactly what to do
Team player; able to get along with others, chip in, and support the mission and vision of Providence Place
Technical experience with Microsoft Suite, Office systems, etc., and the ability to learn other software programs.
Strong interpersonal skills.
Bi-lingual in English and Spanish preferred
Licenses/Certifications:
Valid Texas driver’s license and a clean driving record.
