Position Purpose:
This position provides complex administrative support and day-to-day assistance to the Dean of Exploratory and Admissions, teachers, students and parents at the Greater New Bedford Regional Vocational High School. This position is responsible for maintaining and improving upon the efficiency and effectiveness of all areas under his/her direction and control; performs all other related work as required.
Essential Functions:

Provide day-to-day assistance to the Dean of Exploratory and Admissions: Schedule appointments and provide general calendar management, process reimbursement requests, copy and distribute signed documents and forms, copy and distribute approved forms to the appropriate departments, draft meeting agendas, transcribe meeting minutes. Screen and route mail, phone calls and all other general communication.

Respond to questions or concerns from parents regarding the lottery or admission process.

Oversee the admissions process and establish, collect, and maintain all paper and computer data regarding the freshman & upper-classman Admissions Program. Ensure all enrollment applications are properly completed and establish acceptance lists, acceptance letters, and reply forms.

Receive and transcribe data from incoming 9th grade applications

Distribute acceptance letters to appropriate prospective students; Monitor and collect reply forms for enrollment; establish computer generated reports as requested including mail merges and waiting lists; maintains 5-yr comparison reports and detailed record-keeping.

Arrange and assemble Open House invitation notification to all public and private sending school students and families. Gather mailing lists from corresponding schools.

Attend off-site trainings and seminars regarding admissions or exploratory programs and keep up with the constant changes and demands of the programs.

Prepare purchase orders in accordance with established procedures and perform all related tasks regarding the processing of purchase orders.

Maintain and process all department invoices, orders supplies, develop and maintain department annual budget and accounting records.

Coordinate and lead the clerical efforts within the office. Responsible for making sure all required clerical support services are followed in accordance w/established procedures.

Cover front office duties on as-needed basis; compile minutes at staff meetings; filing; shredding; mail sorting; bulk mailings; transcribing as needed.

Maintain, update, submit, and distribute payroll and paychecks, individual absentee reports on a weekly basis.

Maintain accurate records for freshman exploratory program rosters, along with total counts, missing shops and updates to rotation schedules.

Maintain waitlists for exploratory programs. Draft correspondence to students and parents concerning status and changes to shop assignments.

Coordinating all clerical activities related to recruiting and parent orientation meetings, including mail merges, student packets, and bulk mailings pertaining to events.

Coordinate and complete daily clerical functions, scheduling & maintain meetings, clearing phone messages and any other special projects or duties ordered by the Dean of Exploratory and Admission.

Performs similar or related work as required, directed or as situation dictates.
Recommended Minimum Qualifications:
Education, Training and Experience:
High School Degree required or GED, advanced education preferred; Two to three (2-3) years of general administrative experience or related field preferred; experience working with computers; experience working in public administration and responding to administrative requests or any equivalent combination of education and experience.
