Position Description
Leadership Greater Washington (LGW) seeks a Member Services Coordinator to support its operations and membership. LGW is a nonprofit established in 1986 with the mission to bring leaders together to make a positive community impact in the Washington Metropolitan region. It is a membership organization at its core, with 2,000 leaders representing a range of senior executives across the region’s business, public, and nonprofit sectors. The Member Services Coordinator is responsible for administrating and maintaining day to day operations for LGW, providing exceptional customer service to LGW’s members, and supporting LGW’s Board of Directors and Committees. They manage accounts payable and receivable, supply ordering, and other administrative office functions. They provide LGW’s highly valued customer service to our 2,000 Members. The Member Services Coordinator supports and coordinates with LGW’s Board of Directors and various committees.
The successful candidate will have passion for making a difference in the greater Washington region, excellent interpersonal skills, and customer service. They will bring expert organizational and administrative skills to ensure functional and sustainable operations for LGW. They will be a natural self-starter and a successful collaborator with teammates and colleagues outside of their organization. They will have a passion for digging into the details, problem solving, and managing projects.
The LGW staff is a small full-time team of six who work closely with a 32-person Board of Directors. The Member Services Coordinator reports to the Sr. Director of Development & Engagement and works closely with everyone on the team as well as the Board. LGW’s administrative headquarters is in downtown DC. The position is primarily remote but is expected to go to the office at least once a week to collect mail, and the entire team is expected to be present for in-person events and meetings within the DC region (between 3-8 per month).
The salary range for this position is $55,000 - $60,000 depending on experience. LGW offers health and dental insurance, disability, and life insurance, paid vacation, paid sick leave, 13 paid holidays, and a matched contribution retirement plan.
Responsibilities
Administrative
· General office duties including filing, handling mail, maintaining office equipment and supplies, and overall office functioning
· Manage general email inbox correspondence
· Keep diligent records in preparation of annual audit and assist with audit requests
· Maintain the membership database including data entry, data cleaning, analysis, and reporting
· Support programs and events with the creation and administration of online forms in the database, and verifying correct registration for events with members
· Administer the online member portal
· Other special projects and duties as assigned
Finance/Development
· Enter all financial data into the database promptly and run reports
· Create and track invoices and all accounts payable
· Manage online payment/registration database system
· Report and track pledges and donations; assist with donor and grant acknowledgement letters
· Reconcile all payments received and payments made with accountant
Board Management
· Coordinate quarterly Board of Directors meetings; produce and distribute Board meeting materials; take Board meeting minutes
· Coordinate and organize monthly committee meetings; take committee meeting minutes and follow up on action items
· Organize and maintain Board policies, bylaws, and other Board-related documentation
Membership
· Provide excellent customer service through courteous and timely responses to member requests
· Support membership recruitment and selection, correspondence, dues renewals, and engagement activities
· Assist with development and execution of annual membership renewal campaigns
· Assist with supporting LGW’s three programs (Signature Program, Rising Leaders, and Youth Leadership Greater Washington) and events
· Assist membership with registering for events, programs, and connecting with the network
· Oversee the execution of annual Member Directory and three program directories
· Manage Member Dinner quarterly events and other Member-led initiatives
Ideal Qualifications
· Database management experience required. Familiarity with EveryAction is a plus.
· 2 – 3 years of related work experience
· Exceptional customer service and written and verbal interpersonal communication skills
· Experience working with nonprofits and boards of directors preferred
· Proficient with Microsoft Office Suite, especially creating and maintaining complex documents and spreadsheets using Microsoft Word, PowerPoint, and Excel
· Excellent attention to detail and outstanding organizational skills
· Experience working with a team and collaborating with others
· Ability to balance long-term and emerging projects - must be able to manage multiple projects simultaneously
· Self-starter, naturally taking initiative and anticipating needs, and will look for opportunities to improve and streamline systems
· Ability to work well with minimal supervision
· Professional flexibility and willingness to embrace rapid change
