What you can expect as an Administrative Assistant in our Secondary School:
As our Administrative Assistant in the Secondary School, you will perform administrative support and manage the front office. You will field staff and student questions and needs on a day-to-day basis. You are responsible for initiating and coordinating the administrative clerical functions required in effective appointment(s) scheduling, including some preparation of reports/presentations using various software packages and databases, compilation of information from various sources, and handling small scale projects.
Responsibilities:
Plans, organizes and performs a wide variety of responsible secretarial and clerical duties; Disseminates information on policies, procedures and regulations.
Prepares a variety of correspondence, forms, requisitions, flyers and other documents; prepares and distributes notices of school activities. Prepares a variety of materials from brief verbal or written instructions.
Assist students as needed.
Receives direct telephone calls, reads and routes incoming mail. Composes and types routine correspondence, prepares outgoing mail and correspondence, including email and fax. Locates and attaches appropriate file to correspondence to be answered by school.
Greets scheduled visitors and directs to appropriate area or person.
Manages office and student files as needed including copying, scanning, and managing electronic files. Maintains department calendar.
Uses discretion dealing with a variety of sensitive and privileged matters.
Coordinates and arranges meetings, reserves and prepares facilities; Copies correspondence or other printed materials, as required.
May answer and screen supervisor's telephone calls, and arrange conference calls. May coordinate supervisor's schedule and make appointments.
Orders and maintains supplies, and arranges for equipment maintenance. Oversees the use of the printer/copier/scanner.
To succeed in this role you must have:
Proficiency in Google Suite. Proficiency with PowerSchool, Salesforce, and/or Adobe Acrobat a bonus.
Ability to effectively work with vulnerable populations.
Ability to read and comprehend simple instructions, write short correspondence, and memos.
Ability to effectively present information to constituents, students and other employees of the school. Strong communication skills.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Ability to work in a fast-paced environment. Strong organizational skills.
Ability to maintain confidentiality.
Education and/or Experience:
High School Diploma, with three years related office experience and/or training.
Preference may be given to candidates with:
Associate's degree from a two-year college or technical school, with six years related office experience and/or training or equivalent combination of education and experience.

Normal for a school office environment.
