POSITION: Surgery Scheduler
REPORTS TO: Office Manager
JOB SUMMARY: To ensure patients’ peace of mind in all aspects of pre- and post-surgical care, including but not limited to: medical pre-op workups, authorizations, and scheduling with contracted facilities.
EDUCATION AND EXPERIENCE
- High school graduate or equivalent.
- Has worked in a surgical, medical practice for a minimum of three years.
- Experienced using electronic practice management system and electronic medical records
- Minimum two years’ experience dealing with medical insurance companies.
- Completed on-the-job training or appropriate courses in in basic anatomy of the eye and common eye surgical procedures.
- Bilingual (English / Spanish) highly desirable
KNOWLEDGES, SKILLS, AND ABILITIES
- Outstanding verbal and written communication skills for communication with patients, family members, referring offices, and surgery facilities.
- Ability to listen to patients and show compassion for their concerns.
- Outstanding organizational skills
- Ability to work independently and yet cooperatively with entire team.
- Ability to keep schedules updated and provide clear notes so entire team understands patient’s status.
- Advanced typing and computer skills (use of database system and electronic schedules)
- Basic understanding of surgeon and patient needs in order to create the most efficient schedules and provide maximum satisfaction of both.
- Ability to remain calm while facing multiple tasks and priorities.
- Resourcefulness necessary to obtain insurance clearance and move patients through the scheduling process.
- Knowledge of, and ability to abide by, regulatory and insurance requirements of medical practices including HIPAA, OSHA, and general medical record documentation
ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES
1. General
- Compliance with Privacy practices and confidentiality
- Regular communication with all departments for coordination of the surgery schedules and necessary preoperative testing.
- Regular reports and schedule updates to surgeons and coordination with surgical facilities.
2. Scheduling
- Work with all surgical schedulers to develop a consistent process for each procedure and follow that checklist when scheduling surgery
- Use necessary scheduling resources including EPM and EMR to enter patients into schedule as well as keep appropriate notes and insurance authorization.
- Gather necessary documentation for surgical procedure
- Coordinate schedules, as necessary, with primary care physicians for pre-operative clearance.
- Coordinate schedules with co-managing physicians as necessary for post-operative appointments.
- Set schedules with facilities well ahead of surgery and according to their requested time frame. Primary surgical facility is 4th Street Laser & Surgery Center.
- Enter medical history and patient demographic information for surgery patient forms.
3. Patient Education
- Verify that patient has received all necessary education to make an informed consent.
- Provide brochures or links to on-line educational materials to patients and family members.
- Use available video or other patient education materials to ensure consistency in education and informed consent process.
- Use language and scripting as provided by doctors in order to reduce any confusion.
4. Clinical Responsibilities
- Work with back office team for completion of necessary diagnostic testing prior to surgery.
- Enter information from testing into programs and EMR records as necessary for surgical planning and doctor’s IOL selection.
- Follow checklist to make sure conditions for coverage of surgery are met (e.g., patient complaint of vision impacting lifestyle, etc.)
- Fax/communicate as instructed by facility, necessary orders for IOL, drugs, etc.
- Order post-operative kits; review instructions with patients during pre-op visit; hand out post op kits.
- Add emergency surgeries and rearrange schedules as necessary.
- Receive and record necessary pre-operative clearance.
- Enter necessary information in EMR system.
4. Financial
- Verify patient insurance eligibility and benefits.
- Obtain necessary authorizations for coverage of surgical procedures.
- Use financial counseling forms prepared for common procedures to show patients their financial obligations.
- Offer financing options for patients; understanding the different financing options available.
- Have patients sign any necessary forms according to insurance requirements for non-covered services (e.g., ABN, financial responsibility, etc.).
- According to procedures, collect patient portion prior to date of surgery.

Pay: $24.00 - $28.00 per hour
