POSITION: Office Manager / HR
LOCATION: New York City / In person 5 days
SALARY: $75-$85K
EXPERIENCE: 2+ years of office management experience in professional service and office environments.
OVERVIEW
Responsibilities:
· Office:
· Ensures the office facility is neat, clean, and well-maintained
· Handles the acquisition and maintenance of all facilities functions, including but not limited to equipment, furniture, telephone, security, HVAC, cleaning services, cable hook-ups, and any other area relating to the functioning of the office space
· Handles all day-to-day requests from staff for any in-office services, equipment, moves, etc.
· Develops and maintains all vendor relations to ensure prompt and quality service of office-related products and services
· Maintains lists, service contracts, schedules, and reports of equipment, procedures, security, etc.
· Is the liaison with the building staff; Works with the building management and staff to ensure office maintenance, safety, and security
· Evaluate team IT support requests and determine if an IT contractor is needed.
· Handles all day-to-day requests from staff for any in-office services, equipment, moves, etc.
· Communicate with staff regarding any office-wide issues, changes, or announcements affecting the staff
· Support SLT with setting up new hires with onboarding documents, keys, passwords, supplies, software, and equipment.
· Works with finance to arrange for the payment of all office services/facilities-related invoices on a timely basis
· Oversees the ordering and delivery of all office supplies
· Handles the issuance of all electronic building passes, keys and computers as needed by the employee.
· Terminates building access, passwords and collects keys and company property from exiting employees
· Responds to equipment failure issues and alarms in a timely fashion and notifies the service provider as well
· Responsible for employee and equipment moves
· Responsible for stocking the kitchen with milk and supplies
· Oversees processing of all mail, packages, deliveries (both outgoing and incoming)
· Organizes off-site and storage coordination.
· Books all messenger and courier services
· Organizes office-wide events, such as:
· Employee celebrations (birthdays, anniversaries, showers)
· Summer picnics
· Lunch & Learn events
· Holiday Party
· Student tours and other pro-bono type events held within the office
· Handles special projects and errands as assigned by managers
HR:
· Onboarding for new Employees
· Run the internship program
· IT set up for new employees
· Termination for employees no longer with the company
· Responsible for tracking all computers and managing the IT Budget
· Offer letters for new employees
· NDA’s for new employees
· Update Justworks with new employee information
ADDITIONAL INFORMATION
Qualifications:
· 2+ years office management experience in professional service, office environment.
· Demonstrated high-level proficiency in Microsoft Office tools, including PowerPoint and other presentation technologies.
· Impeccable organization and efficiency skills; strong attention to detail to ensure timely follow-up and bring all issues to closure.
· Clear, concise, and articulate communication skills - verbal, written, and listening.
· Able to take on ad-hoc assigned tasks.
· Self-sufficient and self-motivated. Works with little supervision, identifies opportunities, and executes on projects to improve organization and efficiency.
· Team player with outstanding interpersonal skills.
· Able to balance multiple tasks and prioritize workload in a fast-paced and demanding environment with short deadlines while maintaining a positive attitude and energy.
