We are seeking a dynamic and organized individual to join our team as a Scheduler. This position offers the flexibility to start part-time, providing an excellent opportunity for individuals looking to balance work with other commitments. Must be available 7:30am-11:30am CST Monday through Friday. This position can be 100% remote but the preferred applicant would be able to provide some occasional on-sight work at our clinic located in Milwaukee, WI. Responsibilities:
- Manage Complex Scheduling: Oversee the strategic scheduling of therapy sessions for clients receiving Applied Behavior Analysis (ABA) services across home, clinic, school, and community locations. This requires a deep understanding of each location's, client's, and staff's specific needs and constraints.
- Policy Adherence: Follow and reinforce the implementation of all scheduling-related policies and procedures.
- Problem-Solving: Identify, coordinate, communicate, and enter make-up, coverage, or overlap appointments. Utilize strong analytic and problem-solving skills to address scheduling conflicts.
- Schedule Optimization: Perform routine evaluations of schedules and make adjustments as needed to ensure optimal utilization of resources, ensuring efficient and effective scheduling that maximizes client and staff time.
- Feedback Provision: Provide timely feedback to supervisors and staff regarding scheduling updates, changes, and attendance performance.
- Compliance and Standards: Ensure that standards, ethical guidelines, and safety regulations are met in all scheduling activities.
- Accurate Documentation: Document scheduling activities accurately and maintain up-to-date records.
- Collaboration: Work closely with staff to address scheduling challenges and attendance issues, making recommendations for improvement based on strategic analysis.
- Resource Planning: Provide regular updates on hiring needs to the hiring manager, based on scheduling analysis and projected requirements.
- Administrative Support: Assist with various administrative support activities including, but not limited to, recruitment, screening, hiring, onboarding, training of staff, and other tasks as needed to support overall scheduling and organizational needs.
- Client Intake Assistance: Support the client intake process while maintaining a prospective client database, ensuring a smooth transition into the scheduling system.
- System Improvement: Make recommendations for improvements to existing scheduling systems and processes, leveraging analytical insights.
- Special Projects: Assist with special projects as needed, applying problem-solving skills to new challenges.
- Administrative Documentation: Complete relevant administrative documentation with a high degree of accuracy.
- Timeliness: Arrive for appointments, meetings, trainings, etc. at scheduled times, demonstrating reliability and punctuality.
- Responsive Communication: Return phone calls, electronic mail, and other correspondence within 24 hours on working days.
- Office Management: Maintain the office and materials in a neat and orderly manner and ensure materials are in sufficient quantities.
- Professional Conduct: Conduct oneself in a professional manner and treat all clients, co-workers, and others with dignity and respect in a culturally-sensitive manner.
- Policy Compliance: Follow all clinical and administrative policies and procedures.
- Additional Duties: Perform related duties as assigned by the supervisor.
Experience:
- Strategic Scheduling Experience: Previous experience in a role that required complex and strategic scheduling, preferably in an Applied Behavior Analysis (ABA) setting or a similar healthcare environment.
- Analytical Skills: Demonstrated ability to use strong analytical skills to solve complex scheduling puzzles and optimize resources.
- Problem-Solving Abilities: Proven problem-solving skills, particularly in a scheduling or resource management context.
- Organizational Skills: Strong organizational skills and attention to detail to effectively manage and optimize appointment schedules.
- Communication Skills: Excellent communication skills to interact with clients, providers, and staff in a clear, concise, and professional manner.
- Technical Proficiency: Familiarity with CentralReach or similar electronic medical record systems, and proficiency in Google Workspace applications.
- Adaptability: Ability to adapt to changing circumstances and demands in a fast-paced environment.
