JOB TITLE:
Recruiting Assistant and Human Resources (HR) Assistant
RESPONSIBLE TO:
General Manager (GM) and Human Resources (HR) Manager
GENERAL DUTIES:
- Coordinate and organize LZI recruiting efforts, including sourcing, screening, and evaluating candidates.
- Provide day-to-day support of HR functions and duties.
RECRUITMENT SPECIFIC DUTIES (70%):
- Work closely with the General Manager, HR Manager, Human Resources, and relevant hiring managers to understand hiring needs and to help develop and schedule recruitment processes, including job descriptions, pre-screening questions, skills tests, and interview questions.
- Assist the General Manager and HR Manager with quick turnaround scheduling and coordination requests involving job candidates.
- Serve as the primary administrator in organizing the recruitment process, recruitment files, and the recruitment team.
- Prepare and post job advertisements and descriptions, including monitoring job advertisement sites (e.g. Indeed, ZipRecruiter, Craigslist, etc.) for applications and coordinate inter-departmentally to post jobs on LZI’s Website and Intranet; research and interface with job advertisement sites and spaces.
- Perform recruitment duties such as conducting pre-screenings, scheduling interviews, updating calendars, administering skills tests, answering phone calls, monitoring emails, communicating with candidates for background information, requesting references, and organizing the reference collection process.
- Overall management of the jobs@lin-zhi.com email account on a daily basis.
- Create, update, and edit recruiting-related checklists, standard operating procedures (SOPs), and protocols.
- Participate in document control and creation processes with LZI’s Regulatory Department for recruitment-related procedures, forms, and protocols.
- Provide staff and supervisor orientation and training for recruitment activities as well as handle internal communications during the recruitment process.
- Create, improve, and update candidate databases and databases of job listings.
- Assist with organizing and monitoring recruiting budget and expenditures, including job postings.
- Close recruitment process, including communications with job candidates, after a position is filled.
- Attend recruitment team meetings, taking minutes, and helping members of the recruitment team to stay organized.

HR ASSISTANT SPECIFIC DUTIES (30%)
- Assist the HR Team with day-to-day employee communications and paperwork about human resources.
- Assist with the employee evaluation and performance management system: sending manager and staff notifications and forms and scheduling evaluations.
- Assist with the researching and updating of LZI policies to conform to applicable labor and employment laws.
- Track and communicate with employees regarding time off and leave: including tracking Paid Time Off (PTO) via HR software (such as ADP WFN) and Excel, DocHub, and the LZI Time-Off calendar.
- Track employee work hours and meal breaks via Easy Clocking.
- Organize, maintain and update employee files and company records.
- Update, generate, and file all HR-related employee forms via DocHub, Adobe Acrobat, and MS Word.
- Assist with sexual harassment prevention training and monitoring compliance: setting up training, sending reminders for training, and creating calendar reminders for training.
- Research and prepare presentations: including slideshows, newsletter information, general meeting information, and memos on relevant HR issues.
- Assist with payroll preparation: by supplying relevant payroll data regarding salary adjustments, bonuses, and other employee payments; data entry of employee information, assisting with payroll reconciliation, PTO reconciliation, and HR master matrix updates.
- Assist with employee onboarding and offboarding and leave administration, including I-9 verification and e-verification, obtaining medical information, and ADP background checks; give onboarding presentations; assist with the preparation and creation of all necessary onboarding, offboarding, and leave management paperwork.
- Overall management of the hr@lin-zhi.com account daily, including checking and responding to emails; forwarding emails and knowledgeably escalating employee issues and complaints to appropriate parties; providing an informative and friendly employee experience of HR.
- Take notes and record HR team meeting minutes.
- General Office Duties: filing, faxing, scanning, and typing.
- Maintain confidentiality and adhere to HR professional standards.
- Miscellaneous HR-related projects as assigned.

QUALIFICATION & EXPERIENCE REQUIREMENTS:
- Bachelor’s Degree
- Excellent skills in analysis, writing, and verbal communication
- High attention to detail and be extremely organized
- Skilled in Microsoft Office (Word, Excel, Powerpoint) and Adobe Acrobat
- Proficient in use of the Internet and familiarity with Gmail and Google Workspace
- Ability to use discretion when handling confidential information
- Strong work ethic
- Team player who enjoys helping out and training fellow team members
PREFERRED SKILLS AND EXPERIENCES:
- Experience with recruitment and job advertisement websites
- High skill level with Excel
- Experience with recruitment databases
- 1 year of administrative support experience
- HR experience or desire to grow in HR field
