Job Summary:
We are seeking a detail-oriented Accounting Specialist to join our team. This position is tasked with the responsibility of performing administrative functions within the Accounting Department. This opportunity requires an individual who can contribute and make decisions in a fast-paced, team environment while maintaining financial awareness and exhibiting excellent data entry with a strong attention to detail.
ESSENTIAL JOB FUNCTIONS
- Develop an understanding of company operations and billing/invoicing procedures
- Prepare field tickets and invoices for work completed to send to customers
- Communicate with customer representatives to address any questions or concerns
- Review customer and vendor accounts to ensure they are complete and current
- Align income with expenses in proper accounts and perform data entry
- Engage in communication between payables and receivables to ensure alignment
- Assist with purchase orders and expenses within the company
- Perform weekly entry of employee expenses into correct service line accounts
- Review vendor invoices for accuracy and input details for payment
- Obtain internal approvals from teammates for expenses received
- Track company expenses to compare with approved budgets and communicate issues
- Assist in review and reconciliation of accounts to ensure correctness
- Complete and provide periodic reports by requested deadlines ensuring accuracy
- Maintain constructive correspondence with vendors and assist in resolving issues
- Perform weekly check runs to pay outstanding expenses and mail out accordingly
- Assist in periodic financial closing efforts ensuring timeliness and attention to detail
- Remain flexible to assist with additional efforts needed at office from time to time
- Maintain an organized and complete filing system as well as digital records
- Assist in year-end transition of files within office filing cabinets and boxing for storage
QUALIFICATIONS
- Associate’s degree or higher. In lieu of degree, 2-3 years of relevant experience
- Proficient in Microsoft Word, Excel, and Outlook
- General understanding of QuickBooks software
- General knowledge of computers
- Good typing skills
- Experienced in customer service
- Excellent communication skills
- Ability to multitask and exhibit flexibility
- Good organizational skills
- Friendly, teamwork-oriented personality

This is a non-supervisory position that reports directly to the Accounting Manager.
This office-based role will operate in a professional environment. This role routinely uses standard office equipment and materials such as computers, phones, and filing systems. The employee may be required to stand, walk, and reach with hands and arms. This position may require the ability to occasionally lift office products and supplies, up to 30 pounds.
A successful Accounting Specialist can fulfill the above responsibilities at a minimum in an organized and detailed fashion. A positive attitude, open mind, and motivation are an essential part of this role and as a member of this team. The ability to maintain focus, eliminate distractions, refrain from getting pulled to other roles, and deliver results in the assigned tasks and procedures will directly impact the company’s performance and ability to perform effectively.

Pay: $15.00 - $22.00 per hour
