Key Responsibilities:
- Data Entry:
- Accurately input financial data into accounting software and spreadsheets.
- Ensure data integrity and consistency across all financial records.
- Update and maintain databases with new and revised data.
- Accounts Payable (AP) Entry:
- Process invoices and ensure proper coding and approval.
- Record AP transactions in the accounting system.
- Verify and reconcile vendor statements and resolve discrepancies.
- Check Cutting Backup:
- Prepare backup documentation for check runs.
- Assist in the check-cutting process by providing necessary documentation.
- Ensure all checks are properly authorized and supported by appropriate documentation.
- Filing:
- Maintain organized and up-to-date physical and electronic filing systems.
- Ensure all financial documents are filed correctly and can be easily retrieved.
- Archive outdated files in accordance with company policies and regulatory requirements.
- Administrative Support:
- Provide general administrative assistance to the finance and executive teams.
- Assist with scheduling, correspondence, and document preparation.
- Support other departments with financial information and reporting as needed.
Qualifications:
- High school diploma or equivalent; associate degree in accounting or related field preferred.
- Proven experience in data entry and administrative support, preferably in a finance or accounting environment.
- Proficiency with accounting software and Microsoft Office Suite, particularly Excel.
- Strong attention to detail and accuracy.
- Excellent organizational and time-management skills.
- Ability to work independently and as part of a team.
- Strong communication skills, both written and verbal.
