Incumbent serves as Deputy for the Floyd County Recorder's Office, responsible for processing various digital and physical property records.
DUTIES:
Processes various digital and physical property records, including processing documents in a timely manner, ensuring documents comply with state requirements, and returning documents that do not meet requirements to submitter with list of required corrections.
Maintains database of recorded documents, receipting, indexing, and auditing all documents. Enters data into websites and public search programs, ensuring accuracy and availability of records to the public. Back indexes deeds and provides historical deed information to the public.
Routes electronics and physical deeds to other offices, providing information and answering questions regarding documents. Creates certified copies of documents as requested.
Processes payments for copies and recording fees, including taking cash, checks, and credit card payments. Balances cash drawers, prepares bank deposits, and prepares and submits reports.
Answers telephone and greets office visitors, including determining nature of call, providing information and assistance, responding to inquiries, taking messages, and/or directing individual to appropriate office or department.
Maintains office environment, including performing light cleaning and disinfecting.
Maintains current knowledge of Indiana state codes regarding property records.
Performs related duties as assigned.
JOB REQUIREMENTS
High school diploma or GED.
Qualified candidates will have reasonable knowledge of real estate terminology, be familiar with real estate transactions and property ownership.
Must have excellent Data entry/keyboarding skills
Practical knowledge of standard practices, policies, and legal requirements of Recorder's office, with ability to properly record and index documents and apply appropriate procedures accordingly.
Must have knowledge of standard office procedures and basic computer skills, including word processing, spreadsheet, email, case management and electronic filing systems, and databases, with ability to apply such knowledge to a variety of interrelated processes, tasks and operations.
Ability to effectively communicate orally and in writing with co-workers, other County departments, and the public, including being sensitive to professional ethics, gender, cultural diversities, and disabilities.
Ability to work with others in a team environment and on several tasks at a time, often under time pressure.
Ability to read and interpret detailed prints, sketches, layouts, specifications, and maps.
Ability to occasionally work evenings and travel out of town for meetings or training, sometimes overnight.
