Position Title: Scheduler
Location: Remote
Pay Range: $13-$16 per hour

Position Overview: The Gatesway Foundation is seeking a dedicated and organized Scheduler to join our team. This remote position plays a critical role in ensuring that our facilities are adequately staffed and that we maintain optimal staffing ratios. The Scheduler will be on call to address any staffing emergencies, including call-ins and no-shows, and will work closely with the recruitment team to keep them updated on staffing needs.
Key Responsibilities:
- Staff Scheduling: Coordinate and schedule staff for all locations, ensuring compliance with required staffing ratios and minimizing overtime. Schedules to be issued two weeks in advance.
- Emergency Staffing: Be on call to manage call-ins and no-shows by finding suitable replacements. Escalate to the program supervisor only when no adequate replacement is available.
- System Management: Utilize the Paycom scheduler system to manage and update schedules, track staffing needs, and ensure data accuracy.
- Communication: Maintain clear and effective communication with staff, program supervisors, and the recruitment team.
- Recruitment Support: Provide weekly updates to the recruitment team on open positions and assist in identifying staffing gaps.
- Compliance: Ensure all staffing schedules comply with organizational policies and state regulations.
- Reporting: Generate and analyze scheduling reports to identify trends and areas for improvement.
- Collaboration: Work closely with the recruitment and programs team to minimize overtime and ensure a steady pipeline of qualified personnel.
- Approvals: A series of approvals are required by Directorial staff prior to issuing schedules. A well organized and documented process is necessary to be successful.
Key Performance Indicators (KPIs):
- Overtime Management: Maintain overtime hours within set organizational targets.
- Staffing Ratios: Ensure all locations consistently meet required staffing ratios.
- Schedule Accuracy: Maintain high accuracy in scheduling data and updates.
- Response Time: Promptly address and resolve staffing emergencies.
- Recruitment Coordination: Provide timely and accurate updates to the recruitment team on staffing needs.
- System Utilization: Efficiently utilize the Paycom scheduler system for all scheduling tasks.
- Quality: Ensuring that no staff works more than five 16 hour shifts.
Qualifications:
- Experience: Previous experience in scheduling or staffing coordination preferred.
- Skills: Excellent organizational and time management skills. Strong communication skills, both written and verbal.
- Technical Proficiency: Proficient in using scheduling software, preferably Paycom, and other related tools.
- Availability: Must be available to be on call for staffing emergencies.
Additional Responsibilities:
- Continuous Improvement: Identify and implement process improvements for scheduling and staffing.
- Training: Assist in training new staff on scheduling procedures and system usage.
- Feedback: Collect and incorporate feedback from staff to improve scheduling practices.
