We are seeking a proficient and experienced Contract Administrator/Senior Financial Analyst to join our team in a part-time capacity (approximately 20 hours a week). This position will play a pivotal role in ensuring the accuracy and efficiency of our financial management processes, with particular emphasis on overseeing our Federal Government contract (CPFF contract experience a plus). Reporting to the CEO/EVP, the ideal candidate will possess a strong background and understanding of financial analysis and general accounting principles and practices, coupled with comprehensive knowledge of QuickBooks Desktop.
This position requires a highly detail-oriented individual, with the ability to manage multiple tasks and prioritize workload effectively. The position has full responsibility for administration of our Federal Government contract, ensuring strict adherence to applicable Federal Acquisition Regulations and Federal accounting requirements. In addition, the position includes full responsibility for the entire spectrum of accounting and finance functions, from accounts payable/receivable to general ledger maintenance, reconciliation of bank and credit card statements, and administration of the operating budget.
The position will start as an in-office position, with the option to transition to a hybrid or fully remote once trained and comfortable in the role.
Responsibilities:
- Administer all aspects of Federal Government contracts, ensuring compliance with contract terms and regulations.
- Oversee Federal Contract budgeting, invoicing, and annual financial reporting.
- Conduct financial analysis to support contract negotiations and decision-making.
- Prepare and submit necessary documentation for contract renewals and modifications.
- Serve as the primary point of contact for contract-related inquiries and communications and as primary liaison with Federal Government Contracting Officers.
- Monitor contract performance and financial status.
- Manage all aspects of the company’s finance/accounting cycle, including accounts payable, accounts receivable, fixed assets, payroll support, and general ledger maintenance.
- Reconcile bank and credit card statements and ensure accuracy of financial data.
- Prepare and analyze financial reports, including monthly, quarterly, and annual financial statements.
- Coordinate and prepare the annual budget and conduct ongoing variance analysis.
- Prepare and submit necessary state and local tax documents and filings
- Support external CPAs in preparation of federal and state income tax returns.
- Support audit processes by providing documentation and explanations as needed.
- Provide management support for finance-related HR tasks.
- Provide financial analysis and recommendations to management.
- Continuously seek opportunities for process improvements and efficiency gains.
Qualifications:
- Bachelor’s degree in accounting, finance, or related field.
- Proven experience (at least 5 years) working with QuickBooks Desktop.
- Experience with Federal Government contracts and Federal Government accounting principles and regulations.
- Strong understanding of accounting principles and practices.
- Excellent attention to detail and accuracy.
- Ability to manage multiple tasks and prioritize workload effectively.
- Strong analytical and problem-solving skills.
- Ability to work independently.
- Proficiency in Microsoft Excel.
- Excellent communication and interpersonal skills.
