As an administrative wizard, they will be continuing to refine, adapt and maintain our administrative processes to keep us a well-oiled, productive machine. Job Overview: The Administrative Assistant will play a key role in providing administrative support to the CEO and COO. The ideal candidate will be detail-oriented, adaptable, and possess excellent communication and organizational skills.
Responsibilities:
- Schedule and coordinate appointments and meetings.
- Manage office correspondence, including drafting emails, and preparing outgoing mail and packages.
- Maintain electronic and paper filing systems, ensuring documents are organized and easily accessible.
- Respond to inquiries in a professional and courteous manner.
- Assist in the preparation of reports, presentations, and other documents as needed, including proofreading and editing.
- Assist with data entry tasks and maintaining excel and CRM databases accurately.
- Assist with marketing projects and social media.
- Schedule and coordinate travel arrangements.
- Maintain office supplies inventory by anticipating needs, placing orders, and verifying receipt of supplies.
- Take initiative and carry out projects to completion with minimum supervision.
- Assist broader team with developing, leading, and supporting process improvement projects.
- Coordinate and support special projects and events as assigned.
- Collaborate with team members to ensure efficient workflow and contribute to a positive work environment.
Requirements:
- 3+ years of proven experience as an Administrative Assistant or in a similar role.
- Preferred: 5+ years in an Administrative Assistant role within business, learning and development, organizational development, or human resources environment.
- Interest in the field of human resources, organizational psychology, coaching, and leadership and management development.
- Bachelor’s degree or equivalent experience; additional qualifications in Office Administration are a plus.
- Detail-oriented with a high level of accuracy in work.
- Demonstrates maturity, professionalism and discretion/confidentiality at the level of senior executives.
- Digital savvy: Advanced proficiency in Microsoft Office 365 Suite (Word, Excel, PowerPoint, Outlook), and other office software, and ability to learn new applications.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Proactive; able to work independently as well as part of a team.
- Excellent verbal communication skills and capable writer with excellent spelling and grammar.
- Interest in marketing projects and social media projects.
- Adaptability and willingness to learn new tasks and take on additional responsibilities as needed.
