Position: Parish Secretary

General Summary: The ideal candidate for Parish Secretary is driven by the Catholic faith to fulfill the vision and mission of St. Catherine of Siena Catholic Church. Someone who is pleasant and welcoming and enjoys working with people as part of the parish team including ministry leaders and volunteers.
Essential Duties and Responsibilities:
- Provides administrative, secretarial, and office support to the Pastor and Parish Staff.
- Answers phone calls, forwards calls accordingly, and takes messages.
- Responds to parish emails and calls in a timely fashion.
- Maintains parish calendar, schedule appointments, special events, and meetings.
- Participates in parish staff meetings and Diocesan workshops and trainings.
- Prepares parish bulletin, parish announcements, and other communications to be reviewed by the Parish Administrator for final approval.
- Maintains parish memberships and sacramental records.
- Prepares Baptismal and Marriage Certificates.
- Coordinates information for baptisms, funerals, and weddings.
- Generates routine correspondence, digital and written.
- Monitors supply amounts and reports for ordering (office, janitorial, sacramental, etc.)
- Maintains a current list of volunteers to contact for different tasks.
- Organizes and maintains a filing system for all important parish documentation.
- Prepares contracts for the Parish Family Life center and ensures scheduling of table set up and cleaning around events.
- Acts as liaison to the Parish Ministries.
- Supports Pastor and Parish Manager in organizing feast day, sacramental and procession events for the parish.
- Other duties and responsibilities as assigned by Pastor.
Knowledge, Skills, and Abilities:
- Computer and typing skills, with knowledge of Microsoft Office suite.
- High school diploma or equivalent required, Associate degree preferred.
- Excellent organizational and filing skills.
- Excellent penmanship and ability to read cursive required.
- Great verbal and written communication skills with high grammatical accuracy.
- Secretarial or administrative assistant experience.
- Bilingual in Spanish and English preferred
- Ability to walk long distances and lift objects up to 40 pounds.
LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, vendors, employees, and the general public.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
