Job Overview:
Fleet Coordinator is a new role for us! The Fleet Coordinator will directly support our Waltham-based Operations Manager, who oversees all operations in New England. This is a unique role that requires both a strategic mindset and a "get it done" attitude by pitching in on cleaning and vehicle moves with our team of talented Fleet Associates.
Key Responsibilities:
Fleet Management:
- Assist in planning and overseeing our Fleet Associate Team’s work across all of New England (cleaning, inspections, vehicle moves).
- Monitor and maintain vehicle conditions, ensuring regular maintenance and servicing.
- Schedule and dispatch vehicles for rentals, ensuring timely and efficient service to customers.
- Assist in developing and managing vehicle rotation schedules to ensure even usage and minimize downtime.
- Handle documentation related to vehicle accidents, insurance claims, and other incidents.
Lot Management
- Oversee the organization and cleanliness of the vehicle lot.
- Ensure all vehicles are parked correctly and ready for customer pickups.
- Manage vehicle keys, fuel cards, and other related assets.
Fleet Associate Support
- Jump in and assist our Fleet Associate Team with cleaning, inspections, and vehicle moves as needed.
Coordination with Rental Agent Team
- Collaborate with the rental agent team to ensure accurate and efficient vehicle assignments.
- Communicate regularly with rental agents to provide updates on vehicle availability and status.
Operations Manager Support
- Serve as acting Operations Manager during scheduled days off (Wednesday and Sunday).
- Assist the Operations Manager with strategic projects.
Qualifications:
- Proven experience in fleet management, logistics, or a related field.
- Strong organizational and multitasking skills.
- Excellent communication and customer service skills.
- Proficiency in using software and apps to manage physical assets.
- Ability to work independently and as part of a team.
- Valid driver's license and clean driving record.
Preferred Experience:
- Experience at a traditional rental car company (Avis, Hertz, Enterprise, Sixt).
