Job Overview
The Client Service Specialist is a critical support team member involved in the on-boarding stages of clients, prospects or facilitating the needs of existing clients during any major Life Event change. They are responsible for fulfilling workflow tasks assigned to support the client needs. They will contact clients if there are any missing details needed to execute the plan or complete and submit paperwork to fulfill the plan. Updates to the sales team will be done weekly to ensure the clients objectives are met. Coordination with our vendors and verifying we have accurate forms is necessary to streamlined processing. Additional responsibilities may include meeting preparation, scheduling, coordinating, communicating and participating in client meetings.
Role and Responsibilities
- Assist Sales on executing specific work assignments associated with client plans as directed
- Obtain, organize and present any needed information to execute plans from the client or vendor
- Provide recommendations to improve existing processes, case management and workflows in KFS CRM system to maximize efficiency and accuracy
- Submit accurate and timely data into KFS CRM system
- Maintain an updated and organized task/WF list that provides clear communication supporting roles
- Provide backup support to other team members and management as requested
- Cultivate new relationships and maintain outstanding relationships with existing clients
- Assist Prospective, New, or Existing clients with inhouse document completion
- Maintain the integrity of a shared email inbox by working with teammates to handle incoming client or vendor request, Log incoming documents, or distribute materials appropriately
- Additional duties as defined
Desired Education, Experience and Skills
- 4-year degree in Business or related field is preferred
- 2+ years of Financial Management experience is preferred
- 3 years of experience with client and/or project management is required
- Clear and concise communication delivery
- Highly proficient in Microsoft Office Suite including Outlook, Word, Excel and Power Point
- Excellent communication skills and a flexible, helpful, can-do attitude
- Great attention to detail, and the ability to consistently produce error-free work
- Ability to tie together multiple concepts or processes efficient & thorough completion
- Maintain a solution-minded attitude by continually enhancing industry knowledge through education or learning opportunities
- Exceptional time management and organizational skills, with the ability to:
- Anticipate needs with initiative and enthusiasm
- Coordinate multiple tasks and deadlines
