The Village of Cary, IL (17,826), a northwest suburb of Chicago, is seeking to fill an opening for a part-time Office Assistant in the Public Works Department. Cary residents pride themselves on maintaining a small-town feel, while enjoying services and amenities more commonly found in larger communities. The Office Assistant provides a variety of administrative support to the Village, helping the department function as efficiently as possible, and provides responsive, courteous, and efficient services to the Village's residents and the general public.
Essential Functions:
- Handle all front desk responsibilities i.e. greeting customers/contractors/vendors, handling incoming deliveries.
- Answering incoming phone calls for the Village; assess callers’ needs, answers customer inquiries, and/or route calls to appropriate personnel.
- Assist in preparing and distributing various Village communications (newsletters, E-blasts, press releases, social media posts, etc.)
- Organizes and archives records and documents. Makes copies of paperwork and distributes as needed. Retrieves data and files for departments. Uses alphabetical and numerical systems to organize paper and electronic records documents.
- Assists with drafting and preparing agenda items for board meetings.
- Serves as primary person for organizing invoicing and running month-end technical reports as needed.
- Accept citizen inquires and complaints and forward to departmental staff as appropriate.
- Work on behalf of the Village as a positive community relations liaison with the public.
- Inputs work orders and data entry into the Village GIS and work order systems.
- Recommend and collaborate with staff on the development and evaluation of new processes.
- Assist in preparing various reports and analyzing data from a variety of technical sources.
Required Knowledge, Skills, and Abilities
Education and/or Experience:
- A high school diploma or GED equivalent is required.
- An Associate Degree (or greater), or an equivalent combination of education and experience is preferred.
- Practical experience in customer service, an administrative support role, or an office setting a plus.
Skills and Abilities:
- Ability to maintain a professional demeanor when dealing with the public.
- Ability to work independently and multi-task with minimal supervision.
- Ability to comprehend, retain and apply established policies and procedures.
- Ability to utilize basic administrative software packages, including Microsoft Office.
Physical Demands:
- Work is performed mostly in an office setting; hand-eye coordination is necessary to operate computers and various pieces of office equipment.
- Specific vision abilities required by this job include close vision, prolonged visual concentration and the ability to adjust focus.
- While performing the duties of this job, the employee frequently is required to sit, stand, walk, talk and hear; use hands and fingers to handle, feel, or operate objects, tools, or controls and reach with hands and arms.
- The employee is occasionally required to bend, crouch, climb or balance and must occasionally lift and/or move up to 25 pounds.
Hourly Wage
This part-time position requires approximately 20 hours of work per week (maximum 1,000 hours per year). The position offers a flexible work schedule of 4-5 days per week. The starting pay range for this position is between $19 to $25 per hour depending on the qualifications of the successful candidate. This position is not represented by a collective bargaining agreement. Annual raises are subject to performance evaluations and wage schedules determined by the Village Board. Accrued paid time-off is pursuant to Public Act 102-1143. The position is not Illinois Municipal Retirement Fund (“IMRF”) eligible.
