Alameda Family Services (AFS) is a progressive, non-profit agency that provides clinically sophisticated, comprehensive mental health and early childhood educational and family support services to individuals and families in the City and County of Alameda. Programs include: Early Head Start, Head Start, Family Support Services, School Based Services, Behavioral Health Care Services (Counseling and an APA- accredited Narrative Therapy Training Program) and CARE (Community Assessment Response & Engagement). OVERALL RESPONSIBILITIES
Under the supervision of the Director of Operations, the Receptionist is responsible for managing the front desk of AFS office. The Receptionist will greet guests and maintain an overall welcoming environment for guests. In addition the receptionist is responsible for receiving and logging client payment.
JOB DUTIES
Responsibilities include, but are not limited to:
Primary Activities:
o Punctually arrive at front desk for assigned shift.
o Greet patients with appointments and direct them to the appropriate therapist’s room.
o Answer multi-line phone and direct calls to appropriate staff.
o Greet and assist walk-in traffic, answer questions, and provide referrals if necessary.
o Determine if clients need crisis support and inform the on-call clinician to provide services as needed.
o Special administrative projects as needed to support programs or agency leadership
o Collect and track client payments and related invoicing
o Support operational data entry, as needed
o Manage client satisfaction surveys
o Manage referral distribution for programs
QUALIFICATIONS, SKILLS AND EXPERIENCE
- Experience in customer service.
- Experience with Quickbooks preferred.
- Experience working with ethnically and socio-economically diverse individuals and families.
- Ability to communicate in English (verbal and written) in a clear and concise professional manner.
- Ability to establish and maintain relationships with a variety of personnel.
- Ability and desire to work as part of a team in a culturally diverse environment.
- Ability to work independently.
- Flexibility, diplomacy, ability to work effectively with people in distress.
- Certification in conflict resolution preferred.
- Multilingual capabilities a plus.
PHYSICAL & COGNITIVE REQUIREMENTS

- Must sit for 75% of the time.
- Lifting of books and other documents weighing up to 25 pounds may be encountered in performing essential functions.
- Frequently type information on computer
- Frequently read information on computer screens and paper.
CONDITION OF EMPLOYMENT
- Background clearance from the Federal Bureau of Investigation (FBI) and Department of Justice (DOJ).
- Tuberculosis Test clearance.
- Provision of appropriate documentation to establish eligibility to work in the United States.
