We are looking for a Office Administrator
Zion Restoration Counseling Services is an established and collaborative Wellness Clinic in Fairfax, VA. We are seeking a high-energy, organized, and detail-oriented individual with great customer services skills.
Successful candidates must have a previous administrative/management background in the medical or wellness industry, sales experience, customer service skills, and a track record of promoting service value.
The individual must be confident and skilled in staff management, including a track record in building relationships and maintaining a positive and productive work environment while addressing issues professionally and effectively
This position is an in-office position with a schedule of Monday thru Friday, 10-6
Responsibilities include:
- Answer phone calls and respond to emails.
- Schedule appointments
- Promote clinic services and providers to achieve monthly appointment scheduling targets.
- Collaborate with staff to ensure efficient clinic workflow and systems
- Oversee provider schedules and monitor productivity
- Track client retention and analyze data
- Conduct productivity conversations with providers not meeting targets
- Audit client charts to ensure completion of necessary documents and compliance
- Assist with onboarding new hires
- Engage in professional interactions to create positive experiences for clients and co-workers.
- Manage and resolve client concerns and complaints, demonstrating effective problem-solving skills.
- Collect and distribute client feedback about services and provider experiences.
- Manage client accounts, collect fees, and enter insurance reimbursement payments.
- Review and analyze financial reports weekly.
- Assisting with the design of back-office systems, chart auditing, SOPs, and other administrative support.
- Attend meetings, training courses, and other learning and development opportunities as required.

Qualifications
- Degree in Business Administration, Human Resources, or other related program (preferred); HS Diploma (required)
- 2+ years experience in sales and administration support, private practice, wellness center, or similar office management roles (preferred)
