Position Overview: We are seeking a highly organized, detail-oriented Legal Assistant to join our elite team of professionals. The ideal candidate will have experience in a high-end legal environment, possess excellent communication skills, be able to multi-task effectively, and have a proactive attitude. The Legal Assistant will be responsible for supporting our attorneys and paralegals, delivering outstanding service to our clients, and ensuring the smooth operation of our office.
Key Responsibilities:
- Assist attorneys and paralegals with administrative tasks, including scheduling appointments, managing calendars, and communicating with clients and staff.
- Prepare and organize legal documents, such as wills, trusts, powers of attorney, health care and other documents.
- Schedule client meetings, including the coordination and preparation of legal and other documents.
- Ability to process all documents and provide clients with their completed estate planning documents in a timely manner.
- Maintain and update client files with the highest level of confidentiality and accuracy.
- Respond to client inquiries and provide exceptional service to ensure a positive client experience.
- Perform general office duties, such as answering phones, managing mail, and ordering supplies.
- Assist with billing and invoicing process.
- Support the firm’s marketing and business development efforts.
Qualifications:
- Minimum of 3-5 years' experience as a Legal Assistant in a trusts and estates law firm is required.
- Strong understanding of estate planning documents and terminology.
- Exceptional organizational skills and attention to detail.
- Proficient in Microsoft Office Suite (Word, Outlook and Excel) and legal practice management software.
- Excellent written and verbal communication skills.
- Ability to manage sensitive information with the utmost discretion and confidentiality.
- Strong interpersonal skills and ability to interact professionally with high-net-worth clients and staff.
- Ability to work independently as a team player in a fast-paced environment.
- Ability to work on-site only.
- Notary Public in the State of Florida.
- Bachelor’s Degree or equivalent proven experience preferred.
